Primary Function of Position:
The Sr Project Coordinator supports the Technical Publications Project Management team focused on the development of technical documentation/ instructions for use (IFU) for medical devices and non-medical devices.
The Sr Project Coordinator will help execute user documentation development and process-specified activities to ensure compliance with established Design Control and Project Management processes, with a strong focus on collaboration with cross-functional groups.
The Sr Project Coordinator will also work with technical writers and localization specialists by using the Change Management software to set up new part numbers, develop change requests, and route technical documentations for approval.
Roles & Responsibilities:
Work with Technical Publications Project Managers to define and track project plans.
Monitor and report status for project tasks, documentation, and project schedule deliverables.
Escalate possible interference/variances to schedule and/or specifications; works to alleviate bottlenecks.
Support and lead team meetings including taking minutes and tracking action items.
Identifies and implement departmental, process related improvements.
Work on milestone activities including submission, reviews, and closure.
Strong collaboration and direct participation during content development and translation/localization.
Track issues, coordinate and facilitate last minute changes for meeting milestones.
Liaison with Document Control and follow-up with approvers of change orders to ensure timely review and approval.
Flexible to support various other duties and assignments as requested to assist the overall function of the department.
Skills, Experience, Education, & Training:
Minimum 2 years of project management required.
Minimum Bachelor's degree or relevant work experience required.
Previous experience with medical devices in an FDA and/or internationally regulated environment highly preferred.
Project Management Institute (PMI) PMP certification preferred.
Strong communication and presentation skills required.
Strong interpersonal skills and ability to interact with core team leaders and other functions required.
Strong organizational skills and ability to manage deliverables for multiple projects under tight deadlines, set priorities, and manage time effectively.
Experience creating project schedules using Smartsheet, or similar software required.
Knowledge of project management processes, and business process improvement and documentation methods required.
Ability to multi-task and work both in a team and independently required.
Experience with Change Management software (Agile or equivalent) highly preferred.
We provide market-competitive compensation packages, inclusive of base pay, incentives, benefits, and equity. In highest cost-of-labor areas the pay rate for this position is $105,400 to $142,600; the pay rate in the majority of the US is $93,400 to $126,400. It would not be typical for someone to be hired at the top end of range for the role, as actual pay will be determined based on several factors, including experience, skills, and qualifications.
