Job Description




Job Title: Accounts Receivable Manager

SUMMARY
:



This position is responsible for timely collection of open receivables and corresponding KPI achievement which includes invoice coding metrics, AR past due percentages, and subsidiary DSO. This position manages the Collections Manager and Cash Application staff and is expected to provide hands-on support during staff absences.



ESSENTIAL FUNCTIONS - COLLECTIONS
:





  • Work directly with the Collection Manager to ensure branches/clients are receiving necessary AR reports in a timely manner. Assist with setting up automatic jobs as needed.

  • Ensure invoice coding metrics are monitored on a weekly basis and coding reports are distributed by the Collections Manager to the Collectors.

  • Ensure accounts with $0 balance and no activity for one year are deactivated on a quarterly basis.

  • Ensure each account has an assigned Collector based upon region assigned. Review assigned account inventories with Collections Manager to ensure even work distribution amongst Collectors.

  • Set monthly collection meeting with Collection Manager and Outside Agency to identify accounts that need personal support/attention. Set calls with sales/clients as needed to resolve issues.

  • Prepare quarterly bad debt template and submit to Financial Controller for review.

  • Ensure weekly AR report for Global and monthly AR report for Region are submitted by the Collection Manager.

  • Provide support to the Financial Controller as needed.




ESSENTIAL FUNCTIONS - CASH APPLICATION:



  • Prepare weekly dispute report for AR Coordinators to action with Operations/Sales.

  • Ensure AR Coordinators are trained and utilize auto-cash application tools/follow internal reconciliation procedures.

  • Ensure duty payments are properly made by AR Coordinators.

  • Ensure AR coordinators respond timely to audit requests, trade reference requests, supplier packet completion requests, etc.

  • Ensure depository accounts are reconciled daily.

  • Assist with manual cash application when needed; help to research issues and resolve.

  • Review overs/shorts at the end of each month and keep accounts clean.




SUPERVISORY RESPONSIBILITIES
:





  • The incumbent will directly and/or indirectly supervise one or more employees.

  • Responsible for career planning and daily support.

  • Responsible for annual reviews for direct reports, goal setting.

  • Utilize ADP for weekly payroll and attendance reporting.

  • Take disciplinary action when necessary.

  • Monitor daily outputs and production.




QUALIFICATIONS

EDUCATION AND EXPERIENCE:





  • High School Diploma or GED is required; Bachelor's degree in related field is preferred.

  • Freight Forwarding or supply chain experience is a plus.

  • Minimum of 7-10 A/R management/collections experience required.

  • Management experience is required.
