PRIMARY PURPOSE:
Under limited direction, this position is responsible for the Division Administrative functions. This position is responsible for direct support of the Division President and the Senior Leadership team. This position is also responsible for management and oversite of all administrative staff within the Division.
DUTIES AND RESPONSIBILITIES:
Performs all assigned duties in compliance with internal SOPs and external regulations. Brings compliance issues to the attention of management.
Assures quality customer service to all internal and external customers.
Hires, supervises, coordinates work schedules, trains, and evaluates performance of assigned personnel. Identifies and effectively resolves personnel issues.
Provides support and technical skills for building reports, presentations, etc. for Divisional President and Senior Management Team.
Coordinates and supervises general business activities and services, including executive management administrative support, travel and meeting coordination.
Coordinates meeting scheduling process and arranges room set-up for
conference room and training area.
Organizes specifics (i.e., location, meals, social events, etc.) for local and division meetings for all departments.
Provides advanced support (e.g., preparing reports, statistical spreadsheets, and assists with non-routine projects).
Composes non-routine and highly confidential letters and memoranda.
Maintain Notary Public certification and perform Notary services as needed
Coordinates minor maintenance and repair issues with all functional departments.
Coordinates back-up support in the areas of executive administrative support, mail distribution, and receptionist duties.
Negotiates contracts and selects and oversees the maintenance of all general office equipment such as copiers and fax machines.
Oversees Division Office general office supplies including requisitioning for re-stocking and delivery.
Performs all other duties, at the discretion of management, as assigned.
REQUIREMENTS:
Knowledge/Education
Bachelor’s Degree or equivalent in experience required.
Completion of business-related courses of study from an accredited trade school or college preferred.

Experience
Five years related experience required.
Three years supervisory experience required.
Skills/Abilities
Ability to promote a work team environment and participate as an active team member.
Effective negotiation skills.
Excellent communication, interpersonal, and organizational skills.
Good supervisory skills with the ability to effectively utilize and develop personnel to execute job tasks.
Ability to maintain confidentiality of sensitive material or communications.
