The Role

The Field Sales Operations Administrator role will report directly to the National Business Director (NBD) for Solid Tumor. He/she will oversee the day-to-day operations of the department, supporting the entire team as necessary.The Field Sales Operations Administrator will participate as a member of the US Field Sales leadership team. As such, previous experience supporting pharmaceutical or biotech marketing teams; and strong professionalism, emotional intelligence, indirect influence and organizational skills will be critical to the success of this role.


  • Calendar Management, manage dept calendars, coordinate team availability for meeting invites.

  • Logistical support. Oversee onsite and off-site department meetings.

  • Document management. Organize and maintain records. Process documents for approval.

  • Invoice processing. Obtain approval, submit for payment, monitor overdue invoices, and track status of approval and payments.

  • Interface with finance and contact vendors regularly to resolve discrepancies or problems.

  • Update NBDs on YTD spends and budget forecast.

  • Contract Management. Coordinate with legal, finance, and sales team to establish Master Service Agreements (MSAs) and Statements of Work (SOWs) with third party vendors and consultants; maintain purchase orders (POs), SRM shopping carts, bid deviations and other procurement files as required.

  • Travel Coordination. Manage bookings and logistics for team travel as needed.

  • Expense Report Management. Manage expense report process for department including submissions for NBDs and approvals for Regional Business Directors (RBDs) on a timely basis. Administrative and Project Management Support. Serving as support for the Field Sales teams assisting with meeting agendas, note taking, issuing post-meeting summaries, and follow-ups to ensure the department remains on time and on task.


Requirements :

  • Bachelor's degree or equivalent.

  • Administrative support experience working in a fast-paced business environment.

  • Strong organizational and task management skills. Ability to prioritize critical tasks and work on simultaneous tasks when required.

  • Excellent written and oral communication skills.

  • Proficiency in MS office (Word, Excel, PowerPoint, Outlook, OneNote), Teams, Cisco WebEx, etc. Ability to quickly master additional platforms (i.e., Veeva, SRM, salesforce).
