Job Summary:

The Record Supervisor is responsible for overseeing and monitoring the daily records operations ensuring exceptional client service at one of our on-site support client sites. The Records Supervisor responsibilities will include direct supervision of staff, adhering to the training and professional development of its staff. Monitoring the delegation of work assignments, and evaluating office projects and timely follow-ups with the client.  

Essential Job Responsibilities:


  • Serves as the principal liaison between on-site employees and client services

  • Lead and delegate records database clean-up, including categorization, and appropriate review of storage or disposition of records

  • Prepare reports related to the activity of the Records Department

  • Assist in the training of records staff and/or client staff on records management processes and procedures as instructed

  • Review and track the circulation of file creations to and from attorneys, and paralegal staff in Records Management System (RMS) database

  • Assist as primary facilitator in completing all external/incoming office transfers

  • Prepare inactive/active files for offsite storage or digitization, performing file culling activities as requested

  • Ensure accurate tracking, monitoring, and recording of offices external vendor charges and site visits.

Qualifications & Requirements:


  • Bachelor’s degree, preferred, or equivalent experience

  • Minimum 5-7 years of experience in a professional or client-services-oriented field

  • Strong interpersonal skills and ability to maintain relationships with firm partners, attorneys, and other client staff

  • Excellent verbal and written communications skills

  • Familiarity with FileTrail, iManage Records Manager, Autonomy Records Manager NetDocument, OpenTEXT DM or similar Records Management Systems

  • Strong imaging and quality checking of images experience desired

  • Strong initiative required; ability to work independently with minimal direct supervision

  • Working knowledge of Microsoft applications (Word, Excel, and Outlook)

  • Good organization skills with ability to manage multiple tasks

  • Ability to life or move 40 lbs. or greater

  • Ability to walk, bend, kneel, stand or sit for an extended period of time
