The Global Marketing Team provides strategy, project management and execution support for marketing initiatives across Planet Vaco. The Global Marketing Process Coordinator will be responsible for maintaining the queue of current projects, monitoring progress in relation to deadlines, and providing administrative and operational support for all members of the team with strong attention to strategy, implementation, and delegation.
Intake of all new requests, including adding each project to Monday.com for tracking, evaluation of team bandwidth to complete, and assignment to the relevant team member(s)
Manage all projects simultaneously, including high level knowledge of each project, coordinating efforts between multiple team members and field teams, and tracking of individual tasks to complete all projects by deadline
Follow-up with individuals to ensure timely completion of all projects in process
Organize and maintain the team's collaboration SharePoint site, including ownership of all files and periodic evaluation of filing structure to refine based on current team needs
Ownership of team calendar, including scheduling all internal and external meetings across multiple time zones
Create meeting agendas and lead team meetings to ensure all agenda items are discussed, as well as maintaining meeting notes where applicable
Evaluate team processes and systems to ensure effectiveness, research improvements, and implement new plans
Support special projects as requested
Minimum 3-5 years' experience coordinating, organizing and simultaneously managing multiple time-sensitive deliverables with many contributors
Strong attention to detail, and superior aptitude for organization and time management
Self-motivated with an adaptable, positive attitude; able to function effectively in a fast-paced, high intensity, deadline-driven environment
Flexible work hours (may include non-business hours) in support of increased work volumes and to meet critical deadlines across multiple time zones
Strong written and verbal communication skills
Solid problem-solving and decision-making abilities
Able to work independently and cooperatively as part of a team
Flexibility of thought to evaluate and refine current processes while meeting deadlines
Marketing experience a plus
