The Office Manager will perform variety of clerical and general office tasks in support of assigned location (i.e., department, project office, etc.) The position will be based out of the Bend, OR office.

Position Responsibilities and Duties:


  • Maintain professional manner with clients and employees, including greeting visitors, solicitors, delivery personnel and managing access

  • Assist with building access, open and close office at beginning and end of each workday

  • Maintain professional appearance of all conference rooms, office areas, patio, etc.

  • Oversight of office supply inventory and ordering - including printer supply & maintenance

  • Manage and update parking portal for new hires, current employees, and assist with tickets

  • Maintenance- submit, track service requests and coordinate repairs with preferred vendors

  • Coordinate and perform a range of division/department support activities; serve as a liaison with other divisions/departments

  • Take photos, print badges, provide building access

  • Create & print shipping labels, schedule pickups, and track incoming/ outgoing packages

  • Sort, screen, review, scan, and distribute incoming and outgoing mail; compose, prepare, and ensure timely response to a variety of routine inquiries (occasionally entails driving to the post office for certifying mail/ picking up mail/ dropping off packages)

  • Manage & coordinate travel arrangements - airfare, car rental, hotel, conferences, off site visits

  • Update/distribute monthly office phone extension and WIP listings

  • Maintain building security and safety procedures as instructed by Facilities Manager.

  • Overhead Coding for SOLV accounting (entails working with accounting and occasionally reaching out to Admins/ PM's/ Vendors/ or POC for further invoice information/ coding)

  • Coordinate events such as office lunches, company events, drinks, and process payments.

  • Timely management of company-issued credit card and expense reports

  • Establish, maintain, and update files, databases, records, and/or other documents as needed

  • Maintain storage supply areas, kitchen, coffee stations and patio areas within facility which includes ordering & restocking

  • Monitor office cleanliness and provide cleaning when needed and provide report of issues to Facilities Manager

  • Coordinate employee workspace move in or move out with Facilities Manager

  • Assist with in house facilities request ticketing system.

  • Update and maintain building maintenance records and status board if requested by Facilities Manager.

  • Other responsibilities as assigned


Minimum Skills or Experience Requirements:

  • High School Diploma or GED Equivalent

  • Computer experience and Facilities ticketing experience preferred

  • Effective communication and interpersonal skills

  • Strong organizational skills and ability to manage multiple tasks with problem-solving ability

  • Effective written/verbal English language communication skills, professional email and telephone manner

  • Ability to take and follow English instruction and obey all safety rules

  • General office and break area supply controls

  • Reliability, dependability, and flexibility
