Since 1987, the National Academy of Sports Medicine (NASM) has set the standard in certification, continuing education, solutions and tools for health and fitness, sports performance and sports medicine professionals. NASM has pioneered evidence-based health and fitness solutions that optimize physical performance and allow individuals to achieve a variety of fitness activity goals.


 


NASM is hiring a Project Coordinator in our Gilbert, AZ office. This is a full-time position reporting to the Sr. Project Manager. The Project Coordinator supports multiple project teams and project management activities. The role works closely with the PMO department lead and is responsible for meeting documentation, vendor and budget management, assisting with planning meetings, and monitoring, organizing and controlling project activities. The role will work on multiple and simultaneous projects in a fast-paced and constantly evolving team environment. This role collaborates with personnel from various departments within NASM.


 


Responsibilities:



  • Maintain and monitor project plans, project schedules, budgets, and expenditures.

  • Organize, attend, and participate in stakeholder meetings.

  • Document and follow up on important actions and decisions from meetings.

  • Prepare for and facilitate meetings where appropriate and distribute minutes to all project team members.

  • Provide administrative support as needed.

  • Undertake project tasks as required.

  • Ensure projects adhere to management frameworks.

  • Maintain all project-related documentation, including but not limited to contracts, invoices, and payment records.

  • Prepare and review project proposals, progress reports, memos, meeting minutes and emails, and direct to other staff appropriately.

  • Ensure all necessary processes and materials are current and properly stored.

  • Ensure project deadlines are met.


 


Job Specifications:



  • Bachelor's degree or professional certificate in a relevant field

  • Previous experience in project coordination or similar administrative work preferred


 


Skills and Abilities:



  • Oral and written communication skills

  • Ability to perform work independently and under direct supervision

  • Ability to handle basic issues and problems and refer more complex issues to higher-level staff

  • Project management skills

  • Research and problem-solving skills

  • Time management skills and ability to work under tight deadlines

  • Competency in Microsoft applications including Word, Excel, and Outlook

  • Documentation management

  • Ability to use project management tools with high proficiency

  • Attention to detail, even under pressure

  • Strong organizational and multi-tasking skills

  • Ability to facilitate collaboration
