Position Responsibilities:


  • Directly assist customers and vendors both in person and by phone with primary focus being to personally address the requirements to prevent unnecessary escalation. If escalation is necessary, takes appropriate action to fulfill requirements.

  • Route calls and direct visitors to appropriate parties.

  • Create and maintain customer and vendor relationships through consistent customer service, communication and follow through.

  • Work with customers over the phone and in person to enter orders, check status of orders, create copies of invoices, communicate in writing and by phone and handle special requests.

  • Communicate sales promotions and new products when directly assisting customers.

  • Pick pack and ship parts when required.

  • Perform data entry work such as purchase orders and other transactions including review of SO backlog staying familiar with when parts are expected to ship and communicate to customer in a proactive manner.

  • Arrange shipping or transportation of items working with customer and transporter to assure the requirements are met.

  • Perform administrative tasks and special projects including but not limited to assisting with indirect hourly payroll processing, assist with coordinating Company events, order supplies, recordkeeping, update safety training and compliance records, update required postings throughout facilities, maintain MSDS’s file, reconcile PO, SO and WO and review, investigate and communicate expected ship dates in a proactive manner.

  • Ensure environmental records and compliance are maintained Manage maintenance of grounds and facility.

  • Write or enter work orders and close them out after reviewing and addressing cost issues also ensuring that the invoiced amount is correct.

  • Assist in compiling month-end reporting requirements.

  • Identify source and purchase non-inventory items as needed to complete service jobs.

  • Proficient at using business system to facilitate accomplishing the above responsibilities

  • Other key duties as assigned 

Position Requirements:


  • 2 years of administrative experience preferred.

  • High school diploma or equivalent

  • Must be adaptable, dependable and able to work with others

  • Good computer skills – Microsoft Excel, PowerPoint & Word

  • Good written & verbal communication skills

  • Detail and accuracy oriented

  • Ability to work independently

  • Strong Customer Relations Ability
