Job Description:

The OUHSC Office of Admissions & Records is looking for an outgoing, reliable person to join our team.  Exceptional customer service is a must, as this person will be the face of A&R and needs to have a friendly, welcoming attitude always. The role will include a variety of tasks and support for the department, so prioritization and organization skills are a must. Some data entry is required so attention to detail is very important. Communication with the campus population is a large part of this position, and this person must have the ability to communicate effectively with various audiences via email, phone and in person.

Duties:


  • Processes all official and unofficial transcript requests, enrollment verifications, degree verifications and letters of good standing in accordance with University policies and procedures.

  • Prepares all board forms and transcript loads for external credentialing bodies for professional programs for students and alumni. Provides information regarding the status of such requests.

  • Serves as first contact for the Office of Admissions and Records by answering and routing phone calls, greeting walk-in guests in a professional and engaging manner, and assisting students with completion of forms.

  • Processes emails received in A&R account.

  • Runs and posts credit card payments.

  • Maintains Admissions and Student record data.

  • Enters transcript and test score data by inputting alphabetic and numeric information using keyboard and scanning system.

  • Reviews data for deficiencies; resolves discrepancies by using standard procedures.

  • Maintains data entry requirements by following data program techniques and procedures.

  • Verifies transcript data by reviewing, correcting, deleting, or re-entering data.

  • Examines student transcripts for authenticity.

  • Supports admissions advisors by pulling files, running reports, and locating materials.

  • Completes special projects for the Office of Admissions and Records.

  • Project coordination with the Assistant Vice Provost for Academic Affairs.

  • Performs various duties as needed to successfully fulfill the function of the position.

  • As applicable-Targets and recruits prospective students for admission to the university.

  • Applies complex policies and procedures to process applications for admission to the university including the evaluation of academic and supporting credentials such as critical reading of applicant essays.

  • Audits final high school transcripts, updating curricular requirements and posting updated test scores to ensure all applicable credits are awarded to the student.

  • Disseminates admission information and analyzes trends in the student recruitment and retention process to inform decisions around the creation of the class schedule.

  • Maintains and updates student records.

  • Complies with university schedule change notifications/

  • Advises students and families regarding educational opportunities and options, admission and other requirements, policies and procedures, transfer of credit, and financial assistance as appropriate.

  • Develops admissions materials and coordinates social media.

  • Performs various duties as needed to successfully fulfill the function of the position.

Education:  Bachelor's Degree in related field

 

Experience:  36 months experience in student services, recruiting students for college programs, or other closely related experience in a higher education environment

 

Equivalency:  Will accept 48 months related experience in lieu of a Bachelor's Degree

Certifications:



  • Valid Oklahoma Driver's License or ability to obtain within 30 days of hire date



Working Conditions:



  • Physical:  Ability to bend, lift, stoop and carry. Ability to engage in repetitive motions


  • Environmental: Standard office environment. Frequent exposure to pressure caused by deadlines and busy periods. May be required to travel. Ability to work effectively with a wide range of constituencies. Requires contact with other departments and university officials. Willingness to work extended hours during peak periods
