The role will be responsible for managing a portfolio of initiatives for the same division, maintaining visibility of all key project information.  In addition, the role will assist HR leaders and project leaders as needed in their efforts to coordinate and monitor the scheduling, resourcing, and health of projects, ensure adherence to schedules, assist in developing solutions for issues & risks, and consult on metrics to evaluate delivering business outcomes that are completed on time and within approved cost.

Key Responsibilities:


  • Facilitate the flow and daily operations of Lean Portfolio Management through Funnel, Review and Analysis using Clarity and/or Aha. 

  • Utilize a combination of resource data and portfolio information to identify roles to propose repositioning fungible resources to the most important work within the Firm Portfolio

  • Manage the intake of enterprise epics and communication with epic owners, functional leaders, and key stakeholders as work moves through the process

  • Monitor and manage the work in progress within the Kanban Backlog

  • Use Clarity and Aha to manage the Firm Portfolio Kanban Board to ensure WIP is managed appropriately and communication on progress to stakeholders is timely.

  • Collaborate with Enterprise Epic Owners to manage the flow WIP for the backlog of enterprise epics within the Firm Portfolio. 

  • Collaborate with the LPM team to ensure system updates (Clarity) to reflect FPGG decisions impacting programs, projects, and/or products are accurate and timely. 

  • Collaborate with Finance to evolve the process for initiative creation, including the approval and entry of expense codes into Clarity

  • Manage work intake process and coordinate all work intake efforts for Firm Portfolio using the Lean Portfolio Management framework and supporting tools.

  • Facilitate trade off discussions with leaders using weighted shorted job first (WSJF)) to assist in determining relative business value for Emperies Epics. 

  • Manage and/or support the daily operations to ensure that the Firm Portfolio is always open for intake.

  • Evolve the overall operational planning process to support execution of the Firm's strategic initiatives

  • Support stakeholders in the creation, iteration, and decomposition of Enterprise Epics into Portfolio Epics for product team execution. 

  • Assist with the oversight and coordination of information from resource management and the Firm Portfolio across in support stakeholder reporting needs. 

  • Collaborate with leaders within the department to create the guidance, activities, and connections with stakeholders to effectively monitor and report on risk management, ROI, and defined outcomes to enable accountability discussions.

  • Manage backlog of work requests, and coordinate/lead prioritization and status meetings, including assisting business leaders with identifying tradeoffs and associated risks to support portfolio needs.

  • Support project leaders (PLs) and business analysts in meeting their commitments. Assisting project leaders on how to address project variances, issue escalation and resolution by reviewing their plans and routinely tracking progress.

  • Identify gaps in capacity based on role type and skill. Escalate potential future gaps to leadership.

  • Maintain understanding of methodologies including Agile and Waterfall, to assist with appropriate Resource Management strategy.

  • Work with HR leaders to manage associate resources on a division/area/team basis. Ensures that resources of suitable skills and caliber are available for tasks and activities as required and provides guidance and recommendations for complex problems.

  • Collaborate and guide project leaders on how to address project variances, staffing gaps, issue escalation and resolution by routinely tracking progress.

  • Maintain state-of-the-art knowledge on project management methodologies including Agile, Waterfall and Product Management, understands the differences and when and how to appropriately use each methodology.

Qualifications Required in the Job:


  • Bachelor’s degree or higher from accredited college or university or equivalent experience

  • 3+ years managing multiple/concurrent projects at one time preferred

  • 3+ years in an Agile environment

  • Experience with Lean Portfolio Management is preferred.

  • 2+ years of Tableau or other reporting tool experience

  • Ability to multi-task; able to effectively handle multiple priorities/ responsibilities

  • Understanding of key project management principles and activities 

  • Strong written, verbal, and active listening skills

  • Qualified candidate will demonstrate attention to detail andpossess strong analytical skills

Decision Making

 


  • Must know when to escalate to leadership when problems are beyond the scope of their responsibility, ability or experience.

  • Regulations, internal policies, procedures and guidelines exist that must be followed but still require significant and frequent interpretation to solve problems. Solution is recommended by this position for approval by the Senior Portfolio Leader, Team Leader or Department Leader.

  • Solid understanding of department/division organization structure in order to engage the appropriate area for assistance in problem resolution.


 


  • Most routine daily decisions will be made in collabration with LPM leader, the Firm Portfolio Manager and FPMO leadership. For example, resource commitments, will be subject to review by the Resource Management Leader.  Solutions and findings from this role may be used to provide guidance to key stakeholders and project teams.

  • This role requires regularly employing industry, firm and regulatory knowledge in decision making and communicating those decisions to stakeholders across the firm.

  • Explores multiple alternatives and arrives at appropriate decisions, which align with department / division goals and/or firm values. These decisions are typically subject to review.

  • Degree of risk is medium, as the more complex and risky decisions are subject to review by leadership.

Span of Influence:


  • May work on multiple efforts at one time.

  • May coordinate/delegate tasks or responsibilities to other project team members in the department.

  • May lead the planning process at the department level.
