Pitch and Proposal Coordinator

The Pitch and Proposal Coordinator assists in the development of timely, high-quality and competitive pitches and proposals, including marketing materials and pitch books, PowerPoint decks, responses to requests for proposals (RFPs), custom and targeted pitch documents and representative matter lists. The Pitch and Proposal Coordinator also supports business development activities and initiatives by assisting in the preparation and delivery of information on prospective and existing clients to attorneys and members of the Business Development and Client Service Manager teams. The Pitch and Proposal Coordinator works collaboratively with members of the Business Development and Client Service Manager teams. The position maintains professionalism and strict confidentiality in all client and Firm matters.

This position can be located in either the Chicago, New York or Washington, D.C. office.   Katten offers the opportunity to work from home with occasional office presence required (KattenFlex).

  • Support proposal development from capture to award.

  • Work closely with the Firm’s Business Development team and Client Service Managers to develop timely, high quality, and competitive proposals.

  • Assist in preparing responses to RFPs, RFQs, RFIs and client compliance surveys, including coordinating with other Firm administrative departments and functions.

  • Draft proposal content such as introductions, executive summaries, cover letters, and standardized responses.

  • Create pitch books and qualification statements to include relevant practice group descriptions and experience, in both Word and PowerPoint formats.

  • Maintain consistent brand identity through document templates.

  • Edit and proofread qualification statements, pitch books, proposals and other related materials.

  • Lead the proposal production effort such as formatting, editing, printing, copying, tabs, covers, binders and electronic media, and mailings.

  • Coordinate the design process for specialty materials with the Creative Services team.

  • Work with the Business Development and Client Service Manager teams to ensure that deadlines are met.

  • Assist with content management of past and current proposals, as well as, updating and organizing standardized RFP responses.

  • Assist in coordinating with the Department’s Senior Marketing Technology and Experience Specialist to ensure all content is updated and consistent in Marketing and Business Development Department systems.

  • Assist with tracking pitch and proposal outcomes.

  • Assist in preparing monthly reports to management demonstrating Firm’s pitch and proposal statistics.

  • Assist in tracking and reporting on statistics relating to the consideration and participation of diverse attorneys in pitches pursuant to the Mansfield Rule.

  • Assist in capturing client and matter industry and sector classifications in the Firm’s new business intake system.

  • Assist in preparing and delivering data on existing client relationships, including accurate lists of contacts from the Firm’s CRM system.

  • Assist in preparing research on prospective clients, including general company information and biographies of key people.

  • Ensure that documents are secure and in keeping with Firm standards.

  • Responsible for communicating the progress of proposals to the Senior Competitive Intelligence Manager.

Knowledge Skills And Abilities


  • Bachelor’s degree in a related field required and two years of marketing experience, preferably in a legal or professional services firm.

  • Experience working on proposals, reading and analyzing requests for proposal (RFPs).

  • Exceptional organization and ability to work in deadline-driven environments and work within teams to complete projects.

  • Exhibit high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, administrative abilities, and decision-making skills. Proactive and responsive with excellent troubleshooting, problem resolution, and follow-through skills.

  • Possess excellent knowledge of grammar, spelling, punctuation, proofreading, and formatting; perform administrative functions and prepare relevant documentation; proofread material for grammatical, typographical, and spelling errors; and perform file maintenance. Attention to detail and accuracy is essential.

  • Proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint) required. Database management skills desired.

  • Excellent interpersonal, verbal, and written communication skills. 

  • Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information and maintain effective relationships with a diverse group of attorneys, clients, business professionals and outside vendors and contacts.

  • Dependable team player who works collaboratively and cooperatively with others in a team-oriented environment. 

  • Ability to learn and understand the Firm’s practices and their distinguishing characteristics.

  • Ability to act independently and make decisions within scope of the position’s responsibilities.

  • Ability to work from home and, when appropriate and safe to do so, available to be in the office for meetings and pitch and proposal production support.

  • Ability to operate standard office equipment including computer, laser printer, telephone, photocopier, scanner, calculator, facsimile, etc.

  • Ability to occasionally retrieve and distribute marketing/desktop publishing materials, written documentation or office supplies weighing up to 20 pounds.

  • Work occasionally requires more than 37.5 hours (35 hours in New York) per week to perform the essential duties of the position.
