The administrative assistant will serve as the office manager to the offices of Health and Counseling Services up to 20 hours a week, 12 months of the academic year.

Primary Duties and Responsibilities


  • Handle highly sensitive and confidential information (and documentation/reports) of Counseling clients and Health Services patients

  • Check-in Health and Counseling students prior to walk-in or scheduled appointments (with counselors, campus doctor, psychiatric nurse practitioner)

  • Request for updated information from counseling students that return periodically

  • Check counseling and health students out (if needed) and schedule next session as desired

  • Administer student satisfaction surveys; can be anonymous

  • Maintain Counseling, Health Services bulletin boards

  • Maintain inventory for offices (copy paper, file folders, exam room supplies)

  • Check campus mail daily, assist with filing

  • Respond to departmental phone calls

  • Create and submit Student Engagement Newsletter announcements for the departments

  • Assists with New Student Orientation, Student Life events, and Counseling Services planned programs that are student-centered

  • Answer and direct questions from students, parents, faculty, staff and other campus guests via phone, in person and by email

  • Time management and attendance for students checking-in/out of clinics

  • Perform other duties as assigned by supervisors



Qualifications


  • Bachelors Degree (Wellness and/or Education background preferred)

  • Two years of higher education experience

  • Computer training (Banner, Excel, and ability to learn other computer software programs; Uburst)

  • Excellent oral and written communication skills

  • Seasoned phone etiquette skills to maintain a friendly and positive atmosphere

  • Demonstrate sensitivity to confidential matters

  • A need to be able to work with minimal supervision, ability to multitask: handling several responsibilities at one time
