University Enterprises, Inc. (UEI) is seeking a Project Coordinator I for the Institute for Social Research (ISR) at Sacramento State. ISR is a Sacramento State research center located at the new Sacramento State Downtown location. We work with state and local agencies, nonprofit organizations, and the academic community to conduct applied research studies about programs, policies, and communities. ISR offers a broad range of analytical services including survey research, program/policy evaluations, and other social science research. ISR is a self-supporting center, operating with eight full-time professional staff, in addition to graduate research assistants, and faculty associates. Pay Rate: $21.68 - $32.52 per hour

Position Overview:

The Project Coordinator provides program administration for survey-related projects including the ISR survey panels. This includes budgetary support and management, project procedure development, implementation, and evaluation. The incumbent will provide administrative and project management functions for survey projects, including performance of the full range of administrative support functions and will provide lead work direction to student employees and Research Analyst I’s. The position reports directly to and receives general supervision from the Associate Director of the Institute for Social Research. The position provides work direction to student employees who assist in research and administrative project activities, as well as Research Analyst Is in their performance of tasks that support projects under this person’s direction. May receive work direction from the Finance & Administration Manager and other staff in the performance of tasks under that person’s direction.

Duties & Responsibilities:

  • Coordinates development of survey-related projects including working with clients to develop content and methodology, programming and testing of surveys in survey software, and coordinating large-scale mailings.
  • Coordinates implementation and management of surveys and survey panels including monitoring responses, quality control, intake and tracking of mailed responses, coordination of data entry, preliminary review/cleaning of survey data, and preparation of deliverables. 
  • Maintains survey panels including recruitment of new panelists and refresh of existing panelists. Serves as a point of contact for survey panelists to address survey issues, provides technical assistance, updates contact information, and/or confirms incentive disbursement. Monitors and responds to messages received at ISR’s sponsored email accounts. Performs general maintenance and upkeep of survey panels.
  • Monitors and coordinates survey participant incentives, including ensuring the funding is available in the online platform “Rewards Genius”, providing documentation for distributions, etc.
  • Serves as liaison with internal and external stakeholders. Prepares administrative reports for clients. Works with various internal and external vendors to obtain quotes for project costs and places orders for related materials including survey samples, translation of documents, printing, large-scale survey mailings, etc.
  • Provides general project management support, including the tracking of deliverables, client communication, and monitoring of project expenses.
  • Assigns and monitors the work, performance, and efficiency of student and staff employees on tasks that support projects under the incumbent’s direction.
  • Assists in the writing and editing of project deliverables, operational manuals, and promotional materials.
  • Performs other duties as assigned by the Associate Director or Executive Director to ensure the success of the program and its participants.

Minimum Qualifications:

  • Bachelor's degree in Social Sciences, Public Health, Business, or equivalent combination of education and/or professional work experience.
  • Demonstrated professional experience in a project management and administrative support position.
  • Demonstrated knowledge of basic methods and procedures for social science survey research and the ability to apply them.
  • Demonstrated experience creating and updating spreadsheets or other project management software to track a project budget, schedule, and deliverables.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Demonstrated ability to prioritize work tasks and manage flows of work in a flexible manner to accommodate multiple projects, shifting priorities, and various deadlines.
  • Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the program and/or organizational unit.
  • Demonstrated ability to analyze operational and procedural problems and develop, evaluate, and recommend solutions.
  • Demonstrated excellent written and verbal communication skills. Demonstrated ability to write business correspondence in response to consultants, contractors, or internal staff inquiries. Demonstrated ability to initiate and maintain communication with both internal and external customers.
  • Demonstrated experience providing lead work direction
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
  • Ability to make independent decisions and exercise sound judgment.
  • Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.

Preferred Qualifications:

  • Experience in higher education or with a non-profit 501(c)(3) organization.
    Experience working in a consulting and/or contract or project-based business environment.
    Knowledge of administrative and budgeting procedures for both UEI and Sacramento State.
    Demonstrated knowledge of grants and contracts processes.
