Position Summary

Additional duties for this position may include:

a. High profile initiative for protection of Restricted Non-Public Personal Information (NPPI-R), Restricted Third-Party Information, Restricted Company Information.
b. Creating digital processes and adding encryption or password protection to all documents.
c. Masking and/or Redaction of documents to prevent breach in privacy information.
d. Consistency in workflow across the footprint.


Under minimal supervision, assists ERIE attorneys, litigation/claims examination staff, and Field Offices with processing subpoenas and requests for the company's property/casualty records.

Duties and Responsibilities

Provides the managing, submission, processing and compliance of legal demands for the Claims and Underwriting Divisions received from jurisdictional law enforcement agencies and courts throughout the ERIE footprint.

Collects and determines the validity of policy declarations, forms, and endorsements for certification process. Notifies appropriate departments and/or personnel to encourage policy reform and alteration.

Specializes in analyzing subpoenas, regulatory and legal requests from various sources, while applying standard practices, and providing detailed responses to our findings.

Performs immediate account searches in the respective repositories; using system data to determine the type of records that meet the scope of the requests. Determines location and method of requests for obtaining the documents, and assure that the required deadlines are met.

Contacts attorney, agents on those requests that warrant clarification or opportunity to narrow the scope of the subpoena.

Maintains communication with internal and external customers, including law enforcement officials and legal counsel.

Creates appropriate response letters, records, and detailed enclosure sheets with all responses.

Maintains accurate claim file notes and all required claim file information for record retention requirements.

Facilitates and coordinates the collection of payments for all responsive documents.

Retains a working knowledge of all relevant state and federal Rules of Civil Procedure throughout the ERIE footprint (23 jurisdictions).

Maintains strict confidentiality as outlined by Federal and State Statutes.

Qualifications

Bachelor's Degree or completion of paralegal degree or certification program required. Three years of previous experience in a law office, corporate law department or in property/casualty claims, or equivalent, required. Working knowledge of technical and legal vocabulary required. Working knowledge of spreadsheet, word processing and database software required. In-depth knowledge of ERIE's record storage procedures and associated systems preferred.
