Job Description:

Nemours is seeking a Marketing & Communications Coordinator to join our team in Jacksonville, FL.
In this high-profile position, the Marketing & Communications Coordinator provides office management, facilities management, accounts payable & receivable management, inventory management, purchasing and distribution of capital and operational equipment, and general operational and administrative support. This individual will manage interns and volunteers and interact with personnel from the various operational divisions and the public, including business clients, representatives of the press, professional organizations, and vendors. Must possess an entrepreneurial mindset and exercise independent judgment and discretion in performing tasks. Can make standard recommendations, be a self-starter who takes the initiative, works independently and collaboratively, and is successful at problem-solving. Additionally, this individual will be able to work well under pressure, meet tight deadlines, manage projects, and be flexible.

This role regularly handles information of an extremely sensitive and confidential nature. Screens incoming phone calls and mail; redirecting them as necessary without Chief Executive's intervention. In addition to screening calls and referring to others, the candidate will answer inquiries independently. Manage and coordinate the daily activities of the Marketing & Communications leadership and provide administrative support to the department associates. Independently manages a wide range of situations requiring substantial knowledge of the function of marketing and communications function and the administrators' areas of responsibility. Bilingual candidates are preferred with excellent command of the English language and must have exceptional business writing skills. Expert skills when it comes to utilizing the Microsoft suite of services; with superior skills using Excel and PowerPoint.

Essential Functions:

  • Additional miscellaneous duties and responsibilities, as may be assigned from time to time by employee's supervisor.
  • Design and monitor business systems and office operations, including general administrative duties. Organize and maintain highly confidential personnel files.
  • Budget responsibility for the department and assigned supplies and expenses lines direct responsibilities.
  • Provide support in the design of expense and budget tracking, including purchase orders and expense reports. Provide guidance and education to all staff members for complying with those processes. Prepare documents, forecasts, and budget analyses for the department.
  • Occasionally analyzes data for special projects requiring data gathering, research, reporting results, trends, and other strategic priorities. Prepare correspondence, reports, and presentations.
  • Provide facilities management, including coordination of office renovations and moves, safety and security liaison.
  • Manage support staff, interns, and volunteers, maintain job descriptions, interview, hire, train, supervise, and support all onboard and off-board department staff.
  • Maintain a schedule, manage priorities, and perform administrative duties, including travel planning, for the Chief Executive and others within the department as needed.
  • Perform administrative duties as required by Chief Marketing Officer and department leadership.
  • Fill out and maintain multi-institutional applications for various professional personnel, including but not limited to professional medical licenses, hospital privileges, and professional medical societies.
  • Function as an inter-departmental liaison with groups throughout Nemours to help educate these groups about marketing and communication standards.

  • Supports conference manager by coordinating conferences, meetings, and exhibit planning and coordination - oversee significant exhibitions across the country, from concept to completion; research and recommend potential displays; negotiate exhibit fees, arrange advance shipment of the booth to avoid unnecessary late fees; order services in advance to avoid excessive fees, arrange to ship booth from show to show to avoid freight charges, prepare display items and give-aways for shows, make travel and meal arrangements.
