Grain Processing Corporation, a member of the Kent Corporation family of companies has a great opportunity to join their team as a Project Assistant. This role will report to the Project Manager, TDC (Technical Development Center) and will assist on a variety of projects of varying complexity, and/or will manage some smaller and less complex projects and tasks on their own. This position will manage and act as a coordinator and project liaison to contractors, vendors, and other stakeholders. This position will maintain document control, manage databases and coordinate and track project activities and communications to ensure project goals are accomplished within the prescribed timeframe and budget parameters.
PRIMARY DUTIES & RESPONSIBILITIES:
• Assist the TDC Project Manager with requests for proposal (RFP) package development, bid and selection process, and develop detailed scope of work documents
• Manage Contractors' submittals, requests for information
• Verify Contractor compliance including: quality, safety, environmental, environmental and material management programs
• Assist with project controls efforts, including project cost reporting, scheduling, project work breakdown structure establishment, project set-up and closeout within the accounting system, and field progress tracking
• Assist with the development of internal and external reports including, project budgeting, cost reports, and project status reports to all stakeholders.
• Participate in internal and external project risk reviews
• Close out contract and project documentation.
• Effectively manage the following:
o IT Support
o Building cleaning schedule
o Consumable purchases and re-stocking
o PR’s and PO’s for R&D Team
o Preventive Maintenance schedule
o Subscriptions – Elsevier
o Building purchases through approved vendors, including new structure for Amazon.com
o Coordinate chemical waste disposal
o Coordinate department meetings and gatherings
o Assist HR in managing job candidate interviews
o Assist with New Hire onboarding
o Coordinate Records Retention, including building compliance of 100%
• All other duties as assigned
EDUCATION & QUALIFICATIONS:
High School Diploma or GED required. Post-secondary degree preferred.
EXPERIENCE:
• Preferred candidate will have minimum 3 years of experience, working with contractors, vendors and familiar with bidding, budgeting and payment processes
• Knowledge of estimating, budgeting, and scheduling practices
• Experience in facility-focused projects, including manufacturing, life sciences, research & development, support facilities (office, central plant, etc.), and government preferred
• Excellent written & verbal communication skills.
• Strong analytical and problem-solving skills.
• Ability to thrive in a fast-paced, demanding work environment, ability to work overtime on short notice,
• High proficiency using Microsoft Office
• Experience with enterprise resource planning software, including SAP, Microsoft Dynamics, NetSuite, SysPro, Oracle, etc
• Ability to work collaboratively with others (R&D team members, Contractors, TDC Project Manager, Vendors, etc) and resilient in overcoming issues in order to accomplish objectives
OTHER:
Role requires flexibility, ability to problem solve and anticipate situations, time management and ability to monitor tasks until fully completed.
