Specialist, Human Resources Information Systems


The position is eligible for remote work with employee living within the Cleveland, Ohio area.


 


SCOPE OF ROLE


Reporting to the Manager, Human Resources Information Systems (HRIS), the Specialist, HRIS provides technical and analytical support to all HR related systems. HR Information Systems will include HR and workforce management, timekeeping, SharePoint, & recognition programs. You will be seen as the subject matter expert on the HR systems with responsibility on daily transaction and process changes within the system. This role will leverage your technical skills in maintaining day to day employee transactions, HR system functionality, and identifying areas to improve HR technical systems.  


 


HOW YOU’LL SUCCEED ____________________________________________________________________



  • Responsible for processing all employee transactions within the HR system. Including, but not limited to; 1) ensuring all employee data is properly entered in the system, 2) ensuring employee data is transferred to downstream systems via integration or manual processes, 3) process employee record changes and employment verifications – new hires and terminations.

  • Responsible for maintenance of Success Profiles (Job Descriptions) in HR system and HR SharePoint site. 

  • Provide end-user troubleshooting, provide remediation, technology request assistance and escalation management. 

  • Support Signature Health initiatives like Teleworking by ensuring program materials are uploaded in the employee record in the HR system.

  • Act as the liaison between Signature Health and the systems technical support teams by entering support tickets and managing the tickets to completion.

  • Monitor reoccurring issues, system/data or process gaps and proactively identifies potential opportunities for increased efficiency and enhancements. 

  • Provide support for HRIS, including researching and resolving problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements.

  • Maintain the integrity of the HRIS through consistent audits, evaluation and updates to the data, including importing and maintenance of employee information.

  • Recommend process and customer service improvements, innovative solutions, policy changes and/or major variations to support established policy. 

  • Responsible for the design, creation, maintenance, enhancement and distribution of standard and/or custom reports. Write, maintain and support a variety of reports or queries using appropriate reporting tools. Assist in development of standard reports for ongoing user needs. Help maintain data integrity in systems by running queries, audits and analyzing data.

  • Develop user procedures, guidelines and documentation on HR systems.

  • Train managers and employees on HRIS, new processes, features, functionality and access. 

  • Facilitate HRIS new hire orientation segment; point of contact for SSO and security setup.

  • Develop, launch and analyze results for employee surveys as requested by leadership or functional HR leadership. Including but not limited to: Employee Exit Survey.

  • Work alongside the IT department to perform regular assessments and troubleshoot any issues/failures.

  • Prepare statistical summaries and special reports from HRIS involving benefits, compensation, performance data, payroll information, and other employee records (EEO compliance, turnover reporting, ad hoc reports, etc.) as requested.

  • Provide project management support with implementations and modifications to HRIS.

  • Assist in coordinating the annual benefit open enrollment process within the HR system.

  • Support Manager, Benefits with ad hoc report or audit requests during high volume times (audits, open enrollment, etc.).

  • Support the 90-day, 6-month and annual performance review (APR) processes from a system technical aspect; facilitate necessary training and develop communications around process.

  • Process HRSA and PSLF Verifications 

  • Responsible for the maintenance of employee rewards and recognition platform:

    • Support technical issues and tickets to ensure platform is running properly and effectively throughout the whole company. 

    • Partner with different leaders within Signature Health to create, design, and implement new recognition programs via the platform. 



  • Responsible for maintaining and updating the Human Resources SharePoint site:

    • Partner with HR functional leaders to prepare content and update each functional site

    • Refresh collateral to maintain engagement by end users

    • Audit the HR site for outdated materials and change as needed



  • Comply with all agency policies and procedures. 

  • Maintain all aspects of HIPAA, promoting patient confidentiality and right to privacy.

  • May be required to perform remote services as determined by Signature Health.

  • Adherence and completion of compliance training provided by Signature Health.

  • Responsible for and completes all productivity/documentation requirements.

  • Participate in all assigned staff meetings and staff development programs.

  • Demonstrate appropriate attendance and punctuality in adherence with Signature Health policies.

  • Other duties as assigned.


 


KNOWLEDGE & EXPERIENCE ______________________________________________________________



  • Bachelor’s Degree in business administration, human resources, information technology or related field required.

  • 3+ year of relevant experience in a Human Resources Information Systems role required.

  • Experience utilizing an HRIS system required.

  • Demonstrated experience with advanced functions in Excel (such as pivot tables, V-Lookups, conditional statements, etc.)

  • Demonstrated knowledge of basic data analytics

  • Ability to interpret results, identify outliers and develop action plans to address them

  • Experience in healthcare preferred.

WORKING CONDITIONS ___________________________________________________________________



  • Work is normally performed in a typical interior/office/clinical work environment.

  • While hours of operation are generally standard, flexibility to work evenings and extended hours may be required.

  • Requires periods of sitting, standing, telephone, and computer work. 

  • Hearing: adequate to hear clients or patients in person, over the telephone or through telehealth technology.

  • Speaking: adequate to speak to clients or patients in person, over the telephone or through telehealth technology.

  • Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.

  • Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.

  • Possible exposure to blood borne pathogens while performing job duties.

  • Frequent bending, reaching, and repetitive hand movements, standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular workday.

  • Sufficient dexterity to operate a PC and other office equipment.
