Executive Assistant, Finance


 


SCOPE OF ROLE


Reporting to the CFO, the Executive Assistant, Finance will provide high level administrative support and service as the primary point of contact for the Accounting and Finance teams.  You will serve as a liaison to the CFO and Director, Finance and oversee the agency’s invoice entry process and support payment runs for agency invoices through Signature Health’s accounting system.


 


HOW YOU’LL SUCCEED ____________________________________________________________________



  • Coordinate and handle administrative office deliveries and mail distribution.

  • Manage office supply inventories and handling of ordering and distribution of office supplies as needed. 

  • Support purchasing needs across the organization in coordination with the Director, Finance.

  • Act as a liaison to provide administrative support to the CFO including coordination and assistance with scheduling requests, preparation of meeting agendas, location bookings and set up.

  • Build positive and professional relationships with vendors and internal customers.

  • Research open or unresolved invoice issues and follow-up where appropriate.

  • Facilitate timely check runs including the preparation of invoices for review and approval; print and distribute checks to properly check signers, mail checks and file paid invoices.

  • Maintain open payable files and track payables to be paid on a weekly basis.

  • Maintain an orderly filing system of invoices and review the AP email box daily.

  • Enter all invoices received into the account system on a timely and accurate basis.

  • Maintain compliance documents for vendors and update vendor records.

  • Manage and track backup and files for credit card transaction purchases across the agency.

  • Maintain confidentiality when handling sensitive information or requests.

  • Demonstrate strong written and verbal communication skills in all tasks assigned.

  • Support the CFO and Finance team with daily tasks as directed.

  • Comply with all agency policies and procedures.

  • Maintain all aspects of HIPAA, promoting patient confidentiality and right to privacy.

  • May be required to perform remote services as determined by Signature Health.

  • Adherence and completion of compliance training provided by Signature Health.

  • Responsible for and completes all productivity/documentation requirements.

  • Participate in all assigned staff meetings and staff development programs.

  • Demonstrate appropriate attendance and punctuality in adherence with Signature Health policies.

  • Other duties as assigned.


 


KNOWLEDGE & EXPERIENCE ______________________________________________________________



  • High School Diploma or equivalent required.

  • 3-5+ years’ experience in accounts payable processing or bookkeeping required.

  • 5-7+ years’ experience working in an administrative support or executive assistant role preferred.

  • Associate’s Degree preferred.

  • Experience in Microsoft Outlook: Word, Excel, calendar functions and scheduling

WORKING CONDITIONS ___________________________________________________________________



  • Work is normally performed in a typical interior/office/clinical work environment.

  • While hours of operation are generally standard, flexibility to work evenings and extended hours may be required.

  • Requires periods of sitting, standing, telephone, and computer work. 

  • Hearing: adequate to hear clients or patients in person, over the telephone or through telehealth technology.

  • Speaking: adequate to speak to clients or patients in person, over the telephone or through telehealth technology.

  • Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.

  • Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.

  • Possible exposure to blood borne pathogens while performing job duties.

  • Frequent bending, reaching, and repetitive hand movements, standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular workday.

  • Sufficient dexterity to operate a PC and other office equipment.
