JOB SUMMARY:

The Facilities Coordinator will support our Headquarters location in Chattanooga, TN and our branches located in our service area. The Facilities Coordinator will manage and maintain the Credit Unions physical branches/buildings, furniture, fixtures and other equipment, vehicle fleet, and offsite storage needs. This includes but is not limited to: regular building and grounds inspection and maintenance, new branch construction and renovation projects, and other facilities related tasks.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES:
 


  • Performs inspections of Credit Union properties and equipment, including office buildings, branches, parking garage, Credit Union owned vehicles, etc., for purposes of identifying maintenance opportunities as determined by routine maintenance and inspection schedule.

  • Manages and coordinates janitorial services, lawn care, waste removal, pest control, coffee services, drinking water services, door mat services, vehicle care and maintenance, care and maintenance of physical assets such as furniture and fixtures and offsite storage needs, and all other applicable building and grounds services, ensuring scheduled work orders are performed timely and to completion.

  • Schedules and supervises third party installation, maintenance, and repair of building automation systems, building access control systems, fire prevention and detection systems, HVAC systems, emergency generator systems, and security systems such as cameras, alarms and security guard services.

  • Manages capital projects, remodels and build-outs as directed. Prepares bid specifications for company and negotiates/manages the implementation contract. Assists in evaluation, selection, and management/supervision of contractors to support credit union maintenance, repair and construction activities. Serves as primary contact for General Contractors. May serve as construction lead on construction projects.

  • Serves as the primary contact for all maintenance and facility-related issues. 24/7 on-call to respond to facility or security related issues and emergencies.

  • Participates in a variety of staff and operational meetings and serves on project committees to support the organization's business continuity, incident response plans, and strategic initiatives.

  • May assist in the review and negotiation of lease or purchase agreements and other property management duties.

  • Tracks allocated expenses, troubleshoots budget variances, reaches performance targets, and communicates budget discrepancies to the organization.

  • Maintains vendor management for all facility related functions. Works closely with contractors and vendors to address and resolve issues that arise. Maintains familiarity with vendors scope of work to ensure work is being appropriately completed and done to our standards. Works as a liaison between general contractor or vendor, to ensure projects remain on-time and on-budget.

  • Coordinates with internal partners to ensure internal and external facilities and property meet health and safety requirements, their appearance is a positive reflection and meets brand expectations, and that facility needs meets or exceeds expectations.

  • Participates with Credit Union Security Committee on organizational safety practices and supply management including but not limited to: planning and executing fire and weather drills and managing supply of first aid materials.

  • Maintains adequate inventory of maintenance products used in all buildings. This may include delivering supplies to branches when immediate needs arise.

  • Monitors/approves purchase orders and authorizes staff to purchase supplies and equipment through outside vendors and suppliers as necessary.

  • Assists other departments in planning and executing event setup and clean up when necessary.

  • Maintain knowledge of branch operations by completing Deposit Regulation and Product and Service Certification courses.

  • Proactively demonstrate the TVFCU core values of integrity, honesty, flexibility, teamwork, leadership, accountability and strong relationships in every interaction with members.

  • Perform other duties as assigned.

Requirements:


  • Minimum of five years of experience in a Facilities or Maintenance role

  • Associates Degree or equivalent work experience

  • Ability to use sound judgement to solve complex problems and deal with a wide variety of variables and details

  • Ability to manage a variety of projects at once while remaining flexible to changing requirements and priorities

  • Ability to perform basic carpentry tasks, knowledge of materials, methods, and tools involved. Understands construction management concepts and terminology

  • Ability to climb on a ladder to complete routine maintenance tasks

  • Ability to lift heavy objects (over 50 pounds) on a regular basis

  • Ability to competently use a computer

  • Excellent verbal and written communication skills.  Work involves much personal contact with others inside and outside of the organization for purposes of giving or obtaining information, building relationships, or soliciting cooperation

  • Must have a valid driver’s license and be insurable under the Credit Union’s driving insurance policy to drive a company vehicle
