Transportation Distribution Coordinator at Dean Foods

Job Description:

The role serves as a business analysis and process administration resource. The ideal person will be able to work through a centralized billing programs, ensuring all fleet maintenance expenses are properly recorded and deviation from budget and forecast are investigated. The candidate may also be responsible for tracking components of fleet equipment purchases, ensuring funding requests are generated for all delivered assets, and track title documentation of fleet vehicles. Proficiency in Microsoft Windows is required to effectively satisfy the responsibilities of this position.


Specifically, the responsibilities of the individual will be to:




  • Consolidate payment information of fleet maintenance vendors; generate journal entries, ensuring invoice accuracy and compliance with SOX/internal controls;

  • Track and verify accuracy of all vendors invoices for new equipment being built; communicate with individual dairies and lessors the details of equipment ready to be financed and prepare Sales Tax Exemption Certificates, as required;

  • Prepare weekly fleet maintenance forecast and analysis, providing upper management and fleet managers with ad-hoc analysis, as required;

  • Prepare, review and analyze journal entries related to the transportation company;

  • Coordinate transition of corporate paid centralized billing accounts to cloud platform;

  • Support the analysis of monthly expenses reported by the maintenance department to ensure accuracy of associated costs and business improvement opportunities;

  • Ensure Tableau maintenance and lease data uploads are accurate; prepare ad-hoc reports; develop maintenance KPls and benchmark reports; investigate discrepancies as necessary;

  • Support the department in initiating and improving processes and procedures to enhance productivity and efficiency;

  • Timely track fleet title documentation for all bought-out equipment;

  • Track and inquire with locations/vendors on short term rentals;

  • Update the fleet maintenance system with unit transfers and disposals;

  • Support members of Internal Audit team and Company's external auditors as required.





  • Associate degree from an accredited business school/college preferred.

  • Minimum of 3 years-experience in a role requiring financial analysis

  • Deep knowledge and understanding of accounting rules and practices

  • Mature, professional demeanor with strong interpersonal and communication

  • Excellent knowledge of Microsoft Excel, Word, JD

  • Ability to think and work independently, executing responsibilities with limited

  • Ability to handle multiple tasks with speed and accuracy.
