Job Description

The Global Wealth and Asset Management Legal Department is looking for a Senior Legal Specialist who will assist with smooth communication between the Board of Directors and internal departments for multiple corporate governance workstreams. The Senior Legal Specialist will partner closely with a team of other Board Paralegals, the Chief Legal Officer, Paralegal Director, to ensure that the Board of Trustees' needs are handled efficiently, discreetly, and thoughtfully.

This position is heavily focused on both oral and written communications, calendar management, executive logistics, presentation creation, and other types of project management and administrative support. The ability to work overtime and outside normal business hours is necessary for this role. This role is a hybrid role (3 days in the office and 2 days Work from Home).

The Senior Legal Specialist must be an excellent communicator and relationship builder. In an environment that values and relies on relationships to "get things done," the Senior Legal Specialist will know who to call and when to call them. Therefore, they must be poised and tactful in communicating with both internal and external stakeholders (via telephone, email, and in person.)

At the heart of this role lies an extremely organized and detailed individual with tremendous presence, polish, and confidence. The appropriate candidate for this position must possess good judgment when prioritizing and committing the Board's time, be self-motivated and be able to work independently with a sense of urgency, while always being discrete in handling confidential data.

Specifically, the Senior Legal Specialist will manage a wide variety of situations and tasks including, but not limited to:


  • Coordination of Quarterly and Ad Hoc Board Meetings including:

    • Meet with key stakeholders and create project plan & timeline;

    • Coordinate overall meeting logistics (held offsite);

    • Coordinate with non-Board, non-Management attendees;

    • Assist with meeting orchestration;

    • Meet with key stakeholders and create project plan & timeline;

    • Coordinate with Meeting Management to secure meeting space and offsite activity locations;

    • Coordinate overall meeting logistics;

    • Coordinate meeting participants;

    • Track Subadvisers visits with the Board;

    • Timeline and Long-term Planning;

    • Prepare and maintain 12-month Board and Committee Calendar "Timeline"; and

    • Process Improvement.

How will you create impact?

In a highly visible role, the Senior Legal Specialist will be responsible for ensuring that all Board members and Senior Executives are prepared for upcoming Board meetings by:

- Acting as primary liaison with Board members on all routine Board matters and serving as point person on all communications/support;

- Meeting with key stakeholders and creating project plans and timelines for upcoming Board meetings;

- Overseeing presentation preparation process, preparing Board reference materials and managing Board portal "Diligent Boards";

- Acting as resource for Senior Management/Committee Executive Sponsors on Board and Committee meeting-related issues;

- Coordinating non-Board, non-Management attendees; and

- Balancing competing demands and anticipating and prioritizing what's most critical, while demonstrating the highest level of service and professionalism.

What we are looking for:


  • 8-10 years of corporate governance experience. ("1940 Act" experience preferred)

  • Demonstrated success in project management, administration or other field requiring strong organizational skills and attention to detail

  • Board of Directors and/or Senior Executive Leadership exposure is a plus

  • Bachelor's degree and/or paralegal certificate
