Position Title: Lead Homeland Security Specialist
Reporting To: Director, Onboarding

Job Summary

Under the general direction of the Onboarding Manager, the Lead Homeland Security Specialist Administrator guides and supports the team responsible for helping our linguists go through the United States Government Security Clearance application process to service our government accounts - FEMA, USCIS, ICE, and DOJ. This team outreach to our interpreters, explains the clearance process, provide forms, resources and support, review submissions, and tracks progress to ensure all eligible candidates receive security clearances. The Lead will have primary responsibility for coordinating, prioritizing, training, reporting, and liaising with Department of Homeland Security personnel and internal stakeholders to ensure candidates complete all necessary steps and provide all required information completely and on strict deadlines.

This role ensures that all stakeholders are kept informed, that the Clearance process is managed ensuring compliance with requirements and that assigned projects are delivered within scope, schedule, budget and quality, with the highest level of accuracy and consistency to meet internal and external customer expectations.

Responsibilities


  • Maintain lists of eligible candidates to submit for security clearances.

  • Maintain accurate and detailed tracking of candidates in trackers and HR database.

  • Prepare and review application packets for submission to government agencies.

  • Guide the team in best practices to be successful with outreach, and persuasion, of candidates for clearance to encourage and support them throughout the process to successful completion.

  • Prepare various regular and ad hoc reports for internal teams and gov't agencies.

  • Analyze progress and solutions to maximize clearances

  • Workforce Management to prioritize.

  • Independently coordinate and communicate with all internal groups, and external stakeholders to ensure smooth clearance process throughout.

  • Work with the team and management to identify and implement process improvements.

  • Coordinate submissions for payment and reimbursements to employees.

  • Coordinate training of cleared interpreters.

  • Model persistence, resilience and positivity for the team responsible for getting candidates through the application process on deadline.

  • Ensure accuracy of all submissions and reporting to agencies.

  • Support LLS' Quality Management System (QMS) to continually improve the Division's processes, procedures and services; and thereby increase efficiency, productivity, effectiveness and customer satisfaction.

Qualifications:


  • College degree strongly preferred. Minimum 4 years' experience in any of the following: Human Resources, Project Management, Customer Service, Accounting.

  • Experience with Government Contracting or security clearances preferred.

  • Must have demonstrated, high-level proficiency in Excel (include vLookup.)

  • Experience using Smartsheet a plus.

  • Superior verbal and written communication skills.

  • Exemplary attention to detail and accuracy.

  • Excellent internal customer service skills, powers of persuasion

  • Strong organizational abilities, juggling multiple projects simultaneously.

  • Enthusiastic, energetic, cooperative and positive team Leader.

  • Creative problem-solving and troubleshooting skills.

  • Excellent follow-up and outreach skills.

  • Ability to work in a fast-paced environment under tight deadlines

  • Strong practical experience using MS Office - Outlook, Word, PowerPoint.

  • Familiarity with SalesForce, Workday and/or LanguageLine business a plus.

  • Ability to multitask and adapt to frequent process changes.

  • Desire to take initiativea must.

  • Sense of urgency, ownership, and dedication to excellence.
