Job Description:

Basic Qualifications

Education/Training: 

A high school diploma or equivalent; specialized education or training relating to loan processing.

Skill(s):  

Proficient reading, writing, grammar, and mathematics skills; moderate interpersonal relations and communication skills; proficient PC skills; proficient analytical skills; visual and auditory skills.

Experience: 

A minimum of one (1) year experience in Banking (account opening, customer service, loan processing) OR Insurance industry or related Administrative experience is preferred.  

General Responsibilities

Responsible for performing a variety of duties to support the loan processing function; coordinating work within the department, as well as with other departments; reporting pertinent information to the immediate supervisor; responding to inquiries or requests for information; assisting the immediate supervisor with administrative tasks to support department operations.

Essential Duties


  1. Performs a variety of duties to support the commercial loan processing function as follows:


    1. Assists with all aspects of documenting commercial loans consistent with applicable policies, procedures, laws and regulations.

    2. Processes commercial loan applications upon request from lenders.

    3. Gathers relevant data and information from necessary sources to process applications.

    4. Utilizes loan platform system to input loan applications, create loan closing packages, including the gathering or creation of other necessary legal documents in accordance with procedure.

    5. Prepare ticket work and loan checks/wire transfers for loan closings, collateral filings, etc.

    6. Record mortgage documents, UCC financing statements, and title encumbrances.

    7. Complete files for denials and withdrawn loans.

    8. Prepare commitment letters and correspondence for lenders as requested and assist borrower attorneys and paralegals with loan closing process as needed.

    9. Obtain evidence of insurance for collateral requirements, order credit reports, flood searches, and property searches as needed.

    10. Obtain CRA verifications, HMDA determinations, and assist lenders with pending items following loan review process.

    11. Scan financial information and reports to credit files.

    12. Organize and file documents in accordance with loan servicing and imaging procedures.

    13. Provides loan support to all lenders and staff, which consists of fielding questions as they relate to policy, procedure, structuring and software.

    14. Prepares other relevant commercial loan documentation support including, but not limited to, file maintenance, renewals, etc.

    15. Provides additional administrative assistance to lenders at the direction of immediate supervisor.

    16. Provides administrative assistance to Director of Commercial Lending as requested.



  2. Coordinates specific work tasks with other personnel within the department as well as with other departments to ensure the smooth and efficient flow of information.

  3. Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of harassment and other forms of illegal discriminatory behavior in the work place.

  4. Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the Bank’s compliance with all regulatory requirements, e.g. Community Reinvestment Act (CRA), Bank Secrecy Act (BSA), Equal Credit Opportunity Act, etc.

  5. Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate Bank personnel.

  6. Responds to inquiries relating to his/her area, or to requests from other Bank personnel, customers, etc. within given time frames and within established policy.

  7. Assists the immediate supervisor with various administrative tasks to support department operations, as directed; may also be assigned special projects.

Ancillary Duties

Ancillary duties vary based on assigned department but may include:


  1. Performs tasks which are supportive in nature to the essential functions of the job, but which may be altered or re-designed depending upon individual circumstances.

  2. Prepares modification agreements and correspondence for all lenders as required.

  3. Process orders from lenders for commercial appraisals. This includes acquiring relevant information to submit, obtain, evaluate and select bids from qualifying appraisers. 

  4. Process order from lenders for environmental reports. This includes acquiring relevant information to submit, obtain, evaluate and select bids from qualifying consultants.

  5. Any other duties as assigned.
