Position Title: Onboarding Administrator (Homeland Security Team)

Reports to:Manager, Homeland Security

Department: Onboarding - Human Resources

Primary Location: Position Is Working Out Of Monterey, California Only

Under the general direction of Homeland Security Manager, the Homeland Team Administrator provides guidance and support to our linguists going through the United States Government Security Clearance process to service our government accounts - primarily FEMA and USCIS. This person will outreach to our interpreters, explain the clearance process, provide forms, resources and support, review submissions, track progress, and report results to ensure all eligible candidates receive security clearances. They will interface with Department of Homeland Security personnel and other internal stakeholders to ensure candidates complete all necessary steps and provide all required information completely, accurately, and on deadline.

This role ensures that all stakeholders are kept informed, that the Clearance process is managed appropriately, and that assigned projects are delivered within scope, schedule, budget and quality, with the highest level of accuracy and consistency to meet internal and external customer expectations.


  • Maintain lists of eligible candidates to submit for security clearances

  • Maintain accurate and detailed tracking of candidates in trackers (Excel, Smartsheet) and HR database

  • Prepare and review application packets for submission to government agencies

  • Outreach to candidates to inform, persuade, encourage, and support them throughout the clearance process

  • Prepare regular and ad hoc progress reports

  • Independently coordinate and communicate with all internal groups, and external stakeholders to ensure smooth clearance process throughout

  • Work with leaders and management to implement best practices and continually engage in process improvements

  • Prepare and submit requests for payment and reimbursements

  • Coordinate training of cleared interpreters

  • Demonstrate persistence and resilience to get candidates through the application process on deadline

  • Support LLS' Quality Management System (QMS) to continually improve the Division's processes, procedures and services; and thereby increase efficiency, productivity, effectiveness and customer satisfaction

Qualifications:


  • College degree preferred. Minimum 2 years college education plus experience in any of the following: Human Resources, Project Management, Customer Service, Accounting, Government Contracts

  • Superior verbal and written communication skills

  • Exemplary attention to detail and accuracy

  • Excellent internal customer service skills, powers of persuasion

  • Strong organizational abilities, handling large volumes and multiple projects

  • Enthusiastic, energetic, cooperative and positive team player

  • Solid troubleshooting and creative problem-solving skills

  • Excellent follow-up and outreach skills

  • Ability to work in a fast-paced environment under tight deadlines

  • Must have demonstrated experience and proficiency in Excel

  • Experience using Smartsheet a plus

  • Solid experience using MS Office - Outlook, Word, PowerPoint

  • Familiarity with SalesForce, Workday and/or LanguageLine business a plus

  • Ability to multitask and adapt to frequent process changes

  • Desire to take initiativea must

  • Sense of urgency, ownership, and dedication to excellence
