Position Summary

Responsible for traditional front desk duties, including answering the telephone and greeting visitors.  The occupant of this role will monitor and support all aspects of the client service area.  This includes efficient utilization of conference rooms, food and beverage set up, teleconference and video conference support, light copy and scan and general information resource for the office.

Offers Administrative assistance as needed based on the office needs.



  • Provide hospitality and reception or other services defined or outlined in Epiq’s service agreement with client.            




  • Provide support for miscellaneous requests and flex services with a “can do” attitude and philosophy.




  • Maintain a positive team-player mentality.




  • Accurately communicate with client staff and Epiq team members regarding commitments, deadlines, challenges, requests, etc.




  • Deliver on service commitments in a timely and accurate manner.




  • Invest proper effort and QC approach to deliver highest quality work and service.




  • Comply with Epiq’s standards of operations as set forth in the contract agreement, the site operations manual, and the employee handbook.




  • Expected to uphold the Standards of Service and best practices developed by Epiq.



Essential Functions:

The following are duties and responsibilities representative of this position:


  • Answer telephone and provide general front desk duties (welcome guests)

  • Collect, scan and send incoming mail

  • Process USPS and overnight mail

  • Order food and set up for meetings; manage said vendor invoices

  • Set up, test, and provide support for teleconference and audio video (includes Point to Point, WebEx, Bluejeans and Zoom)

  • Manage the Firm’s Covid-19 requirements as it pertains to the conference room area

  • Maintain neatness of reception area and common areas of office suite

  • Understand operations of telephone console and report problems.  Relay incoming, outgoing and intra-system calls

  • Communicate building emergencies to other offices (fire drills, evacuations, etc.)

  • Electronically schedule and confirm internal meetings

  • Electronically assign visiting attorneys to available offices

  • Assist with various administrative tasks:

    • Unidentified mail

    • Chrome River – process invoices, expense reports & balance credit card statements

    • New Business Intake (NBI) – assist attorneys as needed with new matters

    • Edit documents & virtual filing



  • Register guests and vendors with security through landlord portal

  • Manage petty cash, when necessary

  • Other duties as assigned

Qualifications/Requirements:

Excellent communication and customer service skills; attention to detail; ability to manage multiple tasks with frequent interruptions; proficient in Microsoft applications and Outlook; experience with conference room technology, Zoom, BlueJeans is helpful; reliability and punctuality; ability to maintain calm under pressure; strong sense of teamwork; good judgment and discretion.  Work occasionally requires irregular hours.

Qualifications & Characteristics



  • High School Diploma or equivalent




  • Minimum of 1 year professional level work experience




  • Previous experience in a client service oriented field preferred




  • Willingness and ability to learn new skills

  • Ability to lift or move 40 lbs. or greater




  • Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, and Excel etc.




  • Excellent organizational skills




  • Strong initiative required; ability to work independently with minimal direct supervision
