Job Description:

Essential Duties and Responsibilities include the following. Other duties may be assigned.


  • Routinely uses independent judgment to make decisions to carryout assigned duties in accordance with company policy and to effectively achieve established company goals/missions

  • Must use discretion in the dissemination of information 

  • Acts as an executive representative when dealing with third parties, making or recommending decisions as needed

  • Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget

  • Schedules, prepares agendas, notices, minutes and resolutions for corporate meetings, disseminates all documents for board meetings

  • Acts as a liaison to the board, employees and member of the public

  • Performs complex and confidential secretarial functions including developing and preparing correspondence, appropriately responding to external correspondence or inquiries, types memos, purchase requisitions, and other department forms and documents

  • Handles highly confidential information and is responsible for filing, maintaining and safeguarding records complying with retention rules

  • Screens incoming calls and correspondence and responds independently when possible

  • Creates and maintains database and spreadsheet files

  • Arranges complex and detailed travel plans and itineraries, compile documents for travel-related meetings for all executives

  • Manages executive calendars and schedules appointments

  • Must maintain a valid driver’s license with a good driving record

  • May assign duties to others as necessary

  • All other duties as assigned

Education and/or Experience

High school diploma or equivalent is required, bachelor's degree from a college or university is preferred

 

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Computer Skills

To perform this job successfully, an individual should have basic computer skills including familiarity with the Microsoft Office suite of products.

Valid driver’s license and clean driving record are required

While performing the duties of this Job, the employee is occasionally exposed to outside weather conditions and risk of electrical shock. The noise level in the work environment is usually quite to moderate.  The employee occasionally works around moving mechanical parts, and is occasionally exposed to wet and/or humid conditions, dust, noise, pollens and fumes.  The work environment can be hectic and requires the ability to perform multiple tasks while maintaining composure and considerable tact when dealing with others.
