Job Description:
Legal Administrative Assistant
Position Summary: The Legal Administrative Assistant will be responsible for providing exceptional and proactive administrative support. Responsibilities include, but are not limited to:
Monitor and listen to clients to understand inquiries and requests in order to provide accurate information about the facilities and services with prompt assistance
Ability to support multiple individuals independently and simultaneously in a fast-paced work environment
Managing Partners, Business Resource Groups and external constituents, Calendar management
Proofread documents for errors in typing, spelling, grammar, syntax, punctuation and formatting;
Handle additional document processing projects as assigned.
Exceptional organizational skills with ability to prioritize tasks and manage expectations effectively to complete multiple tasks/projects quickly, efficiently and on time
Accurate document proofing required
Provide mail, distribution, copy, printing, hospitality, reception, file, or other services defined or outlined in EPIQ’s service agreement with client
Provide support for miscellaneous requests and flex services with a “can do” attitude and philosophy
Follow established guidelines and procedures for receiving, documenting, organizing and mailing out client packages (i.e. parcel deliveries, messenger services, etc.)
Ensure accurate tracking, monitoring and recording of all charges, overtime, logs and entries throughout his/her shift
Answering telephone inquiries, loading/unloading parcels, delivering of parcels, copying, and faxing and guest requests
Provide excellent client service as the coordinator of the clients’ conference rooms, common areas and kitchens
Answer incoming telephone calls and direct call traffic to the proper person
Maintain neatness and organization of reception desk and front closet areas with various administrative duties as outlined by the Site Manager
Skills Required:
Intermediate knowledge of Microsoft Office applications, including Outlook, Word, Excel and PowerPoint
Familiarity with or ability to learn other applications, as required
Flexible and responsive with ability to pivot as priorities shift
Leverage technology wherever possible to enhance efficiency and effectiveness
Commitment to delivering high quality work with attention to detail
Exemplary client service orientation, professional demeanor and comfort in interacting with senior executives; demonstrated maturity, judgement and discretion
Clear, concise, effective written/verbal communication skills, including in person, via phone and email
Demonstrate initiative, independent thinking and creative problem solving
Dependable and reliable team member who builds collaborative relationships
Desire for continuous learning and professional development
Ability to recognize trends and anticipate needs
