Group Leader

Summary of Responsibilities:

Reporting to the Rooms Manager, responsibilities and essential job functions include but are not limited to the following:


  • Communicate through e-mail, personal interaction and written information with Guests, Sales, Catering, Finance, and other teams as required
  • Act as a liaison between all other departments and the rooms management team, communicating information about Human Resources needs, Catering and Sales requests, VIP's, Executive Office and last minute information
  • Prepare reports, documents, and letters as requested by the rooms management team
  • Coordinates daily schedule of meetings, daily packets, resumes.
  • Keep updated list and organized Colleague Telephone Numbers for specified rooms department
  • Assist with open folios to ensure that all folios are closed or followed up on within 30 days.
  • Answer or forward all inquiries and phone calls from colleagues, department heads, and guests.
  • Follow up on calls to ensure guest needs are exceeded.
  • Review daily arrivals and special requests as requested, oversee room inventory management to ensure guest requests are met and liaise with revenue department to ensure the house is closed when necessary
  • Reporting Engineering maintenance requests through the Royal Service System for Front Office and General hotel in accordance with guest needs
  • Answer all communication from accounting department including open folios, chargeback loss, chip and pin liability, billing inquiries and certificate, and answer in a timely manner to ensure guest satisfaction and follow up with agents and managers on any relevant reminders or errors.
  • Manage front desk common inbox and reply or escalate any guest issues as necessary to resolve issues to guest's satisfaction.
  • Operate a variety of Windows based computer programs to ensure the success of the department including Excel, Watson, Opera, Kipsu, Hotel Link, ACDC, IDEAS, Sonifi, Givex, fusebox, Royal Service, Outlook, Saflok, ADP, REX
  • Maintain Communication boards with up to date and relevant information for Colleagues.
  • Active Participation in Hotel Committees and Community projects.
  • Direct the workforce, issue instructions to employees and expect them to be carried out
  • Other job related duties as assigned by Director of Rooms Operations

Qualifications:

  • Proficient in the English language (verbal & written), second language is an asset
  • Must be able to handle a multitude of tasks in an intense, ever-changing environment
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
  • Previous customer related experience an asset
  • Previous PMS experience an asset
  • Computer literate in Microsoft Window applications an asset
  • Must be able to type 25 words per minute
  • Must possess a professional presentation
  • Strong interpersonal and problem solving abilities
  • Highly responsible & reliable
  • Ability to work well under pressure in a fast paced environment
  • Ability to work cohesively with fellow colleagues as part of a team
  • Hospitality Diploma is an asset
  • Must be flexible in terms of working hours
  • Must have the ability to handle cash effectively and accurately

Physical Aspects of Position:
Physical aspects of the position include but are not limited to the following:

  • Frequent standing and walking throughout shift
  • Occasional kneeling, pushing, pulling, lifting
  • Occasional ascending or descending ladders, stairs and ramps
