Job Description:

The Medical Records Specialist assists with the management and maintenance of the medical and administrative records of Alliance Health. The employee also ensures the records are maintained according to laws and regulations and the organization's policies and procedures. This position is also responsible for keeping medical and administrative record information confidential and protected from loss or destruction.

Responsibilities & Duties

Process release of information requests


  • Process medical and administrative record release of information requests, subpoenas and court orders within required timeframes.

  • Respond to phone calls from members, Disability Determination Services, attorneys and other public entities regarding medical records.

  • Process and document Public Record requests.

Prevent records breaches and unauthorized uses


  • Protect medical and administrative records from breach of confidentiality and/or unauthorized use.

Assist with records retention


  • Utilizing the approved retention schedules, review records to ensure that the organization maintains records per prescribed retention periods and properly destroys records that have met their retention.

  • Audit scanned records to ensure complete and accurate copies before destruction.

Assist with Provider medical records


  • Assist with taking possession of medical records that have been abandoned by providers.

  • Develop a plan for taking possession of, logging records and retention plans received by providers in the Network. Draft and mail letters and notifications to providers who have left the Network. Track and log such letters and notifications.

Maintain records tracking systems


  • Maintain accurate tracking systems to review documentation and ensure compliance.

  • Data entry of member information.

Assist with internal trainings and technical assistance related to records


  • Provide training and technical assistance to organization’s employees related to medical and administrative records and releases of information.

Knowledge, Skills, & Abilities


  • Knowledge of laws and regulations regarding the confidentiality of medical records.

  • Knowledge of principles and practices of medical records, confidentiality, and HIPAA.

  • Knowledge of office management techniques.

  • Microsoft Word and Excel skills.

  • Ability to maintain confidentiality and handle highly sensitive information with discretion.

  • Ability to work independently with minimal supervision.

  • Ability to organize workflows and coordinate activities.

  • Ability to compile, summarize, and tabulate numerical data.

Minimum Requirements

High School diploma and three (3) years of related work experience, including at least one (1) year of medical records experience, that includes  one (1) year of processing release of information requests, and knowledge of state and federal rules and regulations regarding confidentiality;

or

Bachelor’s degree and one (1) year of medical records experience, that includes one (1) year of processing release of information requests, and knowledge of state and federal rules and regulations regarding confidentiality.

Special Requirement

Must have current, Valid NC Driver License; Position requires lifting up to 20 pounds occasionally.

Salary Range

$17.32 to $29.81/Hourly
