The position will facilitate and coordinate efforts necessary to support HRHS Procurement and Billing activities for External Services and Personnel expenses. Provides specialized technical expertise and oversight to support HR managers and vendors in procurement processes. The position requires experience with budget and billing software, i.e. SAP and IBuy. The ideal candidate must be able to maintain confidentiality and work independently with minimal guidance to complete tasks. This position requires initiative, a results orientation, and consistency in meeting customer needs.



Responsibilities


MAJOR ROLES AND RESPONSIBILITIES : Support the department for technical procurement related items. Processing purchase requests and orders for department transactions. Working to support creation of HR multiyear framework contract agreements, Purchase Requisitions and Purchase Orders using SAP and IBuy. Coordinating procurement processes in collaboration with Purchasing, Legal and Third-Party Supplier Risk for Cybersecurity as required. Providing input and supporting business process related purchasing and budgeting activities. Identifying processes improvement, documenting existing processes, identifying, and analyzing gaps between current processes and the desired state. Proactively resolving issues pertaining to vendors and billing by working closely with Purchasing, Accounts Payable, Vendor management, Treasury and Control. Tracking of Purchase Orders and Framework Agreements for balance and contract term. Working in collaboration with HR managers on renewals. Participating in project teams for purchasing and budget related items and assisting with continuous improvement efforts. Producing reports including general ledger, financial statements, regulatory and management reports upon request that support payment and billing activities across HR. Paying vendor invoices and processing goods receipts on a timely basis . Overseeing the contingent worker payment tracking and working closely with the supplier and CW managers to ensure timely payment of invoices. Monitoring commitment balances on PO's and proactively taking appropriate action to manage. Coordinating Manual Accruals and Goods Receipts for Accruals with Control. Preparing management presentation as requested; ensuring data is conveyed to management in a way that is concise and accurate.



Skills and Requirements



Requirements: BS Degree in Business Management or related field with 5+ years of Financial, Purchasing and Budget experience. SAP Experience. Well-developed computer skills including familiarity with standard Microsoft Office applications - proficient with Excel, Word, and Presentations. Knowledge with tools for budget control/availability, invoice investigation, purchase requisition and processing.

Preferred Skills: Excellent oral and written communication and presentation skills. Strong time management, scheduling, organizational skills. Demonstrated ability to work and follow through to completion in a dynamic environment, managing and interfacing effectively with cross-functional internal groups of all levels and competencies. Strong interpersonal skills and the ability to effectively manage stakeholders. Strong customer service skills with attention to detail . Able to maintain confidentiality .Excellent interpersonal and time management skills. Entrepreneurial, self-starter with a desire to learn and win. Able to work with minimal supervision
