Located in the heart of World Golf Village, Westminster St. Augustine, a Life Plan Community, is currently accepting applications for the part-time position of Maintenance Administrative Assistant. This position will administratively assist the Maintenance Department and also provide administrative support to the Human Resources Department and Dining Services Department each week as well.

ESSENTIAL JOB FUNCTIONS:

The Maintenance Administrative Assistant must comply with all applicable rules, policies, standards and guidelines related to employment with Westminster and its communities as follows:


  1. Performs office and administration duties for the department, including entering work orders into the maintenance tracking software. Keeps track of open and closed work orders.

  2. Receive maintenance request via the phone and enter the request into the maintenance tracking software for proper tracking and scheduling.

  3. Produce daily, weekly and monthly maintenance reports for review by the department. This includes weekly spend-down reports.

  4. Process invoices/receipts according to proper account coding system. Interface with the accounting representative for monthly matching purposes.

  5. Keep track of the contractor’s insurance information and W9. Maintain an up to date MSDS Book.

ESSENTIAL QUALIFICATIONS:

Education: High school diploma or general education degree (GED); and 1 to 3 years related experience and/or training; or equivalent combination of education and experience.

Experience and Basic Knowledge: Computer literate and experience with MS-Office Suite including spreadsheets. Ability to lean the maintenance software, print reports and confirm order status.

Physical and Environmental Requirements: Fingering, Standing, Reaching, Grasping Pushing, Climbing, Driving a vehicle, Lifting up to 25 pounds

Sensory and communicative activities with or without prosthetics of this position are: Feeling, Smelling, Hearing, Speaking, Seeing, Tasting

An individual in this position will be exposed to:  Inside/outside environmental conditions, Blood Borne pathogens, Respiratory pathogens

Must be able to cope with mental and emotional stress of this position.
