Overview

Our Portland, OR Service department has an opportunity for a Service Coordinator to join our team. The Service Coordinator is responsible for coordinating the work flow of customer equipment maintenance and repair, facilitating excellent communication between internal departments and customers, and reinforcing service advisor recommendations to customers for the proper maintenance and repair of vehicles. Responsibilities

    Answer telephone service inquiries. Assist customers with their needs and treat them with professionalism, courtesy, respect, and in accordance with dealership policies. Refer leads and prospects to sales departments.
  • Advise customers of any outstanding recalls or service programs that need to be completed and of any preventative maintenance or additional repairs that are needed. Provide customers with estimated costs provided by Service Advisors. Secure agreement from customer on the repairs to be performed before any work is started.

  • Complete repair orders by asking good diagnostic questions to identify customer needs/concerns and record accurately. Enter all incoming repair orders into scheduling system. Identify repair orders that require special handling such as rush orders, customer waiting, special problems, etc.

  • Maintain close relationships with supervisors on scheduling of repairs, status of repairs, and quality control. Keep Service Manager informed of all problems and potential problems with repairs, customers and equipment.

  • Follow up with customers to ensure satisfaction and open lines of communication. Resolve or escalate issues as appropriate; follow through to ensure resolution.

  • Coordinate service specials with Parts Department on a weekly basis.

  • Provide documents for warranty claims to the warranty department in a timely manner. Interpret warranty information and policies to customers. Keep up-to-date on technical and performance information on all vehicles serviced by the dealership.

  • Verify with supervisors and service advisors that correct labor hours are accounted for and properly posted.

  • Perform miscellaneous duties assigned by the Service Manager.

Qualifications


  • Minimum 3 years' experience in an administrative assistant, service coordinator, or other similar role

  • Experience within automotive or trucking dealership preferred; CDK experience preferred

  • Excellent attention to detail

  • Excellent oral and written communication skills and interpersonal skills to work effectively with all levels of managers and employees and external contacts

  • Excellent customer service skills

  • Strong organizational and time management skills

  • Skill in operating multi-line phones, office equipment, and computer programs such as MS Office (including Outlook, Word and Excel)

  • Ability to be dependable in attendance

  • Ability to work independently, prioritize both independently and collaboratively, and use sound judgment in a changing environment
