The Operations Administrative Assistant is responsible for a wide variety of administrative and staff support services for the facility leadership team. This position assists with budget and control activities, preparation of records, statistics, and reports, administers programs and projects, and serves as administrative liaison with others within and outside the company.
Supports facility with tracking temp labor, enters jobs/hours, and various Payroll functions
Coordinates accounts payable activities by processing and entering invoices accurately and timely, matching invoices to backup, communicating with vendors when necessary, coordinating month-end reports
Assists with various Accounting records and reports, enter requisitions and coordinates purchase orders, assists Plant Controller with spreadsheets and memos as necessary
Reconciles and audits purchasing card transactions
Coordinates, tracks and prepares documents, filing and package shipments, sorts and distributes incoming mail and checks, distributes newsletters and memos
Maintains, runs, analyzes and validates necessary corporate reporting
Coordinates meetings, travel arrangements, customer and vendor visits
Answers incoming calls and directs calls
Prepares correspondence for the department and is responsible for supplier setup
Strong PC skills including the Microsoft Office Suite; including Word, Excel, PowerPoint and Access
Knowledge of Human Resources Information System and Operations Systems (Chess, Oracle)
Ability to perform with a high degree of flexibility and adapt to change in the workplace
Ability to properly maintain confidential or sensitive information
Ability to think in such a way as to produce a new concept or idea
Ability to assess multiple tasks and develop a plan to complete them in a logical and efficient manner
Ability to utilize available time to organize and complete work within given deadlines
Ability to maintain a consistently high level of attention to detail
Primarily limited to local travel

This position is located primarily in an office environment. At times the associate is required to sit for long periods of time.
