GENERAL SUMMARY/ OVERVIEW STATEMENT


Under the general direction of the Inventory Manager and within hospital and departmental guidelines, the Inventory Specialist creates, monitors and maintains the inventory of supplies for the Cardiac Cath Lab (Knight Center for Cardiovascular Therapeutics). Performs special projects. Functions as a liaison between unit and Supply Support.


PRINCIPAL DUTIES AND RESPONSIBILITIES




  • Stock procedure rooms, OR cart, and replenish clean supply inventory.

  • Monitor clean supply areas to ensure compliance with The Joint Commission/Infection Control and departmental guidelines. Report compliance issues to the Inventory Manager.

  • Responsible for handling incoming calls, deliveries and providing support to staff and
    changing priorities as needed. Add value by knowing where things are kept and helping staff access supplies & equipment quickly.

  • Identify incoming products and accurately apply appropriate RFID or QR code tags to supplies. Place supplies in correct storage location based on product type.

  • Check packing slips and merchandise against Purchase Orders.

  • Check all open Purchase Orders, determine if merchandise was not delivered, and secure delivery date.

  • Report discrepancies, problems or questions to the Inventory Manager related to the acquisition and distribution process such as stock outs and backorders.

  • Provide support in resolving customer inquiries related to supply inventory. Customers may include, but are not limited to, internal materials management, CSPD, shipping and receiving personnel, external vendors, and lab staff.

  • Develop and maintain a positive working relationship with individual unit staff members and foster collaboration with external departments.

  • Perform PeopleSoft application tasks such as, cart information updates, running reports, and daily online ordering of medical and pharmaceutical supplies via handheld.

  • Independently reconcile discrepancies between the on-hand balance and the database.

  • Perform monthly product expiration date checking in compliance with departmental policy and procedure.

  • Troubleshoot minor system errors at the Mobile Aspects Tagging Console.

  • Work with Inventory Manager and clinical staff to plan set-up of carts and bins, par levels, replenishment schedule and supply room standards.

  • Perform application tasks for Mobile Aspects RFID-enabled inventory management system

  • Perform cart overhaul tasks as needed: replace supply labels and bins, add bins and labels to the carts when adding a new supply to the area and reorganize carts due to par level adjustments and/or reconfiguring of carts.

  • Provide training to new staff members and Bulfinch Temporary Services staff.

  • In conjunction with the Inventory Manager, perform recalls as instructed by the Partners Product Recall Coordinator.

  • Perform product conversions and additions as instructed by Unit Leadership, BioMedical Engineering, and Safety Committee.

  • Monitor nutritional supplies and fulfill orders at the Nutrition Services Department.

  • Responsible for the implementation and completion of special projects (new technology)

  • Expected cross coverage for the Cath and EP Lab Inventory staff as necessary, i.e., scheduled and unscheduled earned time.

  • Performs other duties as assigned.

WORKING CONDITIONS:

  • Responsible for handling incoming calls/ assisting customers/providing support to staff and
    changing priorities as needed

  • Exercise appropriate body mechanics, care and caution when handling and delivering materials

  • Standing/walking most of 8-10 hour shift

  • Lifting/carrying up to 50 lbs

  • Pushing/pulling over 50 lbs

  • A strict dress code and professional appearance including wearing surgical scrubs is required






Qualifications

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

  • Exceptional customer service and problem-solving skills are essential

  • Requires a strong working knowledge of medical/surgical terminology

  • Excellent verbal communication skills.

  • Requires excellent interpersonal, influential and organizational skills

  • Strong attention to detail.

  • Must demonstrate initiative and the ability to prioritize workloads under stressful situations

  • Must be accountable and capable of independent action

  • Computer proficiency required; Microsoft Word, Excel and Outlook

  • Must possess a positive attitude and ability to use sound reasoning in isolating a problem and reach a sound conclusion

  • Must be able to adapt easily to changes in the workplace/priorities

EDUCATION:

  • High School diploma required

  • Basic mathematical and communication skills

  • Must possess intermediate computer skills

  • Must possess complete comprehension of the English language and be proficient in written and oral communications

EXPERIENCE:

  • 2-3 years experience in a department with a high volume, high dollar inventory.
