Functions as a coordinator for the SCC Oncology Scheduling team. This position will ensure accuracy in scheduling and will act as a primary resource for scheduling. The Oncology Scheduling Coordinator will be responsible for smooth day to day operations among the Oncology Scheduling team and will help facilitate any urgent needs and provide coverage when needed.

1.Functions as a lead resource for the Oncology Scheduling team.
a.Performs all duties and responsibilities of an Oncology Scheduler at an expert level.
b.Provides support to co-workers by assisting with workload and assignments when time allows as needed and when time allows.
c.Addresses patient concerns, complaints and questions with a calm demeanor. Provides immediate follow up to patients with questions, concerns or rescheduling needs.
d.Provides cross coverage for other practice staff members for absences, vacations, and in times of work flow changes.
e.Ensures schedulers are functioning as a team and have the resources needed to complete the tasks at hand.
f.Files, collates, photocopies and electronically manages reference documents and procedures related to scheduling. Ensures any new policies are distributed to the scheduling team.
g.Prioritizes and organizes workload for accurate and timely outcomes and facilitates a manageable workload for oncology scheduling team.
h.Responsible for developing training manuals for oncology scheduling role.
i.Responsible for onboarding and training all new oncology scheduling team members.

2.Under the direction of the Practice Manager, coordinates various operational and administrative tasks, identified areas of process improvements, as well as acts as a liaison between providers, office and clinical staff.
.Responsible for continual improvement of the scheduling team.
a.Recommends areas for opportunities and improvements within the Oncology Scheduling Team and Seacoast Cancer Center, when appropriate.
b.Demonstrates critical thinking skills to strive for continuous improvement of the oncology scheduling team.
c.Possesses a thorough knowledge of and stays current on billing practices as they relate to scheduling and patient care.
d.In conjunction with coding department, proactively resolves coding related issues. This includes but is not limited to coding queries, missing diagnoses on orders and missing charges.
e.Establishes and maintains strong working relationships with physicians and clinical staff to ensure daily communication is taking place to enhance safety and patient care.

3.Responsible for accuracy of all oncology provider schedules and maintaining accurate guidelines in scheduling system.
.Point of contact for urgent scheduling needs including but not limited to same day add-on appointments or scheduling changes.
a.Oversees MGH satellite programs to ensure smooth clinical practice.
b.Dedicated resource for all scheduling questions, concerns or issues.
c.Review infusion room schedule for next date of service to ensure accuracy of scheduled appointments and consult with infusion room nurses if needed.
d.Responsible for monitoring pending appointments based on provider care of plan.
e.Responsible for the continual improvement of the scheduling process.
f.Manages provider guidelines and ensures accuracy of guidelines in scheduling system.

4.Demonstrates organizational skills and facilitates teamwork to promote a smooth functioning office.
.Maintains work area in a professional and organized manner.
a.Maintains a HIPAA compliant work area, related to patient documentation and verbal communication.
b.Assists practice manager with data collection and office support as needed.
c.Provides corrective action in sharing ideas to identified issues.
d.Assist with updating policies and procedures related but not limited to scheduling functions.
e.Runs required reports related to scheduling and billing procedures. As required, audits charges to ensure compliant billing within 48 hours of service prior to audit. Coordinates missing charges with coding, physician and nursing staff.
f.Creates environment where teamwork is fostered and customer service is demonstrated.

5.Demonstrates competency in using computer systems, office equipment and resources to facilitate daily operations of scheduling.
.Understands and utilizes the electronic medical record to perform daily tasks including but not limited to scheduling, data collection and patient demographics.
a.Ability to utilize, troubleshoot and coordinate tickets with Information Systems on all equipment used such as pc, printers, fax machines, and phones.
b.Ability to utilize Microsoft Office Suite, the electronic medical record and other office or hospital issued software utilized in the Seacoast Cancer Center.
c.Acts as a super user for electronic medical record(s) used within Seacoast Cancer Center


Experience Minimum Required

• 2 - 3 years minimum in a comprehensive oncology practice.
• Working with patient's directly, and via phone with scheduling needs.
• Proficient with Microsoft excel, word and ppt.

Experience Preferred/Desired

• 3+ years in a Comprehensive Oncology Practice

Education Minimum Required

• High School or equivalent.
• Medical Terminology.

Education Preferred/Desired

• College Degree

Training Preferred/Desired

• Project Management Training Required Within 1st Year for Process Ownership Development Opportunities

Special Skills Minimum Required

• Ability to initiate conversations and answer questions from medical personnel; ability to handle sensitive issues with a calm reassuring demeanor.
• Ability to problem solve; ability to work under stressful demanding situations; ability to work within a team concept.
• Ability to interact effectively with people of various backgrounds, skill levels, and value system.
• Typing speed of 45 wpm.
• Computer manipulation, verbal and written communication skills, mechanical 1 aptitude.
• Ability to make effective judgments and decisions based on objective criteria.
• Ability to perform excellent internal and external customer service
