Job Description Summary

The Portfolio Analytics Manager (PAM) is an Occupancy Strategist responsible for providing strategic space and occupancy planning expertise in support of long term supply and demand planning, space analysis and space efficiency reporting, and projects related to workplace strategy and design within a client's real estate portfolio. The PAM will coordinate with Portfolio Strategy Managers (PSMs) who support specific business units or product areas (PA) in order to coordinate and manage initiatives that span across multiple PAs.

KEY ACCOUNTABILITIES





Responsible for one or more of the following:



  • Scenario planning and strategy


  • Analytic ability - scenario planning analysis


  • Create pivot table, v-look up, conditional formatting, etc.


  • stack planning, migration planning


  • Space layout option development / test fits


  • Option evaluation for impact, benefit, risk, dependencies


  • Block plans, allocation plans, adjacency plans


  • Problem statement and business justification writing


  • Space and occupancy planning collateral creation





Responsible for one or more of the following:



  • Analyze and identify trends in space allocation and usage for optimization opportunities.


  • Support the development of Bay Area portfolio migration strategies with PSMs


  • Manage initiatives and restacks that span across multiple PAs in coordination with PSMs.


  • Identify swing space needs and alternate space solutions.


  • Provide input on timing and scheduling on cross-PA initiatives


  • Communicate with other vendor partners, including Delivery, PM, and FM, for cross-PA-specific initiatives


  • Develop, maintain, and ensure usage of proper standards and templates used by PSMs and Program Managers (for example: planning tools, templates, guides, etc)


  • Create and maintain trackers for cross-PA initiatives used by other vendor partners


  • Create and maintain detailed schedules and milestones for cross-PA initiatives


  • Conduct project initiatives meetings (including taking and sharing minutes) and track deliverables assigned in meetings


  • Ensure space planning activities are executed in compliance with SLAs and client satisfaction targets


  • Create and deliver planning proposal to convey option summary, option outcomes and option benefits and risks related to each activity


  • Able to provide occupancy planning support for PAs, if needed, in support of requested activities - programming, planning analysis, solution development inclusive of space plans, occupancy master plans, furniture layouts, test fits and block plans


  • Provide coaching support for new OP team members


  • Must be located in the Bay Area.






JOB REQUIREMENTS & QUALIFICATIONS






Education:




  • Minimum 5-10 years of experience as one or more of the following a) interior design, b) architecture and c) space planning in a fast pace work environment


  • Minimum 3-5 years of relevant experience in space strategy, data analytics, and project management (or equivalent)


  • Bachelor's degree in business or related field is required, or equivalent years of experience in related function






Previous Experience:




  • Proficient in AutoCAD, and has previously used a CAFM system


  • Proficiency with Google Docs/Sheets/Slides and Microsoft Office Suite (Excel, Word, Powerpoint)


  • Proficient in a project scheduling software (MS Projects or Smartsheet)


  • Intermediate spreadsheet skills required, e.g. experience in tracking data in a spreadsheet with extensive use of formulas


  • Proficient in Space Planning, Programming, and Occupancy Strategy


  • Analytics experience


  • General understanding of basic data lab technical requirements is a plus
