Under limited supervision, performs diversified administrative duties and related services for Commercial broker executive(s). Handles details of a highly confidential nature and performs administrative/client liaison/travel scheduling and event planning functions.

ESSENTIALFUNCTIONSANDRESPONSIBILITIES



  • Scheduleandorganizecomplexcalendaractivitiessuchas:meetings,agendas,luncheonarrangements,travelplansandteamactivities

  • Prepare,collectandmaintaininformationforthepreparationofconfidentialreports, proposals,andothermaterials

  • Actasfirstpointofcontactformeetingandgreetingclients-bothinternalandexternal

  • Assistinplanningandcoordination ofcomplextravelarrangementsforexecutive(s)

  • Prepareteam'sbusinessexpensereports,trackstatusandsettleissuesusingowninitiativeandwithlimiteddirectionfrommanager(s)

  • Composedraftcorrespondenceonowninitiativeforreviewbymanager(s)

  • Create and maintainfilingsystemforownand/orteamfilesusingown initiative

  • Collect,open,sort,distributeandforwardincomingandoutgoingmail

  • Initiatecontactwithseniorexecutives/clientsforexchangeofinformation

  • Anticipatemanager(s)andbusinessneedsandundertakenecessaryactionstoproduceeffective resultsontime

  • Respondtoinquiriesfrominternal and external clients

  • Performadditionaladhocprojectsasrequestedbytheteam or operations manager.




BACKGROUND AND EXPERIENCE



Demonstrated experience should include:


  • Bachelor's degree preferred or a combination of Education and Work Experience in a support role

  • 3+ years of experience in a corporate environment, while in a support type role, preferably at Executive level.

  • MS Office advanced skills

  • Adobe Creative Suite a plus

  • Commercial Real Estate Experience preferred

  • Abilitytodraftcorrespondencewithminimaldirection

  • Proven work history in problem solving/troubleshooting and resolution of conflict

  • Manage multiple tasks with changing priorities to meet deadlines in a fast-paced environment

  • Attention to detail is imperative, effective follow through on task

  • Abilitytoanalyze&resolveofficeadministrativeissuesandmakerecommendations

  • Abilitytoperformtechnicalcomplexworktomeettimesensitivedeadlines

  • Abilitytomaintainconfidentialityofinformation.
