In this role, you will be responsible for a full range of activities including, but not limited to, the following:

  • Provide comprehensive and reliable administrative and office management support on a daily basis.

  • Provide administrative support including preparation of correspondence, reports, and meeting minutes.

  • Provide document control management for multiple projects (includes electronic filing of transmittals sent and received and tracking of deliverables, submittals, and official correspondence in electronic database (Microsoft Excel or similar)

  • Responsible for answering phone calls and emails, in addition to redirecting and/or escalating as appropriate.

  • Performs daily office tasks such as filing, maintaining records, copying and scanning.

  • Assists with editing, formatting and proofreading documents and/or reports.

  • Assists office staff with general, administrative support tasks as needed, including ordering and preparing office supplies for incoming hires.

  • Maintains neat and clean office environment area for the suite.

  • Assists with scheduling and setup of client meetings and vendor presentations.

  • Coordinates conference room reservations via the conference room calendars.

  • Assists in managing office access including, but not limited to, office access, coordination with property management, etc.

  • Communicates with property management and/or third party vendors to resolve technical and/or building maintenance issues.

  • Coordinates meeting set-up including, but not limited to, conference rooms, catering, guest confirmations, etc.

  • Manages inventory and restocking of supplies, and places orders when necessary.

  • Oversees floor plans and tracks space availability.

  • Prepares, processes, receives, drops-offs and distributes mail/packages and shipments.

  • Runs office-related errands.

  • Assists with travel booking for employees and candidates (including flights, hotels, rental cars, etc.)

  • Assist with processing and updating expense reimbursement reports as requested.

  • Maintains a high level of confidentiality at all times.

  • Assist with the planning and coordination of special events.

  • Exercises safe work practices by following all Company safety rules and OSHA regulations, including attendance at all required safety training programs.

  • Performs other duties as assigned.

  • 5+ years of general office experience required

  • Proficient with Microsoft Office software, Google Suite, and/or PC programs

  • Ability to interface with cross-functional teams and all levels of personnel/management

  • Highly motivated, organized and able to work effectively with minimal supervision, both independently and in a team

  • Positive, proactive, and flexible

  • Demonstrated skill of shifting approach in response to the demands of a changing situation

  • Ability to prioritize multiple projects and problem-solving skills and following through on issues in a timely manner

  • Effective verbal and written communication skills

  • Willingness and ability to travel (5-10% as needed)

  • Able to lift 20 lbs.


  • Bachelor's Degree from ABET-accredited university program

  • 1+ years of document control experience in a mechanical, industrial, manufacturing or related industry
