Job Title: Administrative Assistant


Job Summary:

The Administrative Assistant will provide clerical assistance to the Account Manager, Account Coordinator, and Operational Sites gathering data, assembling in a variety of formats and providing to the applicable parties in the required time constraints. The Administrative Assistant will be an excellent communicator and have exceptional follow up capabilities. The Administrative Assistant will exhibit an ownership attitude and be able to work independently of daily direction.


Essential Duties and Responsibilities:























Monitors and submits daily and weekly time sheets for Technicians



Function fluently in IWMS and the Customers Work Order system, creating, managing and maintaining all site work orders



Plan and assign work as directed by Site Manager



Maintain Safety Training Matrix and Coordinate, etc. all safety training for site personnel



Assists with the process of Contract Change Orders



Perform duties as deemed necessary by Account Manager, Account Coordinator and/or Site Manager.



Qualifications:
























Education


(HS Diploma, Under/Graduate Degree, etc.)



Must have High School diploma or equivalent



Business Experience


(prior years work/related experience)



Three to Five years administrate experience, previous experience in an industrial environment desirable.



Licenses/Certifications



Must possess a valid driver's license



Language Skills



Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of organization



Technical Qualifications & Skills



Extensive experience in Excel with formulas, graphing, pivot tables, etc. Experience with Power Point and Word. Previous experience with a CMMS preferred. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

























Ability to maintain a flexible schedule: days, evenings, weekends and emergencies



Present self in professional manner: neat appearance and grooming.



Able to produce a quality work product in a prompt, safe and efficient manner.


Observe and adhere to safety and health rules.



Good communication with and respect for co-workers and their property, vendors, and tenants



Team player, hard worker, good interpersonal skills, ability to communicate well in both oral and written reports.



Maintain a good attendance record, including notification in the event of tardiness and absence.
