The Sr. Payroll Specialist will be responsible for various duties related to payroll processing, reporting and compliance. Must work efficiently to manage a large amount of information that is sensitive and confidential. This position requires attention to detail, proficiency in meeting deadlines and ability to provide review and quality check function for other team members' work. This individual will support all major payroll and may perform tasks in a back-up capacity for other team members, perform quality control checks, assist with annual audit information requests and other special projects.

Specific job duties include, but are not limited to:


  • Payroll Processing:


    • Experience in payroll processing including, Payroll Open, Payroll Imports, Payroll Balancing, Payroll Entries, Payroll Calculation, Payroll Close and Post Payroll Processes.

    • Validates pre and post payroll processes in accordance to departmental internal controls and standards and in compliance with local, state, and federal tax laws

    • Completes payroll transmissions accurately and on time. Prompt correction of errors. Semi-monthly processing.

    • Knowledge for proper treatment of employee terminations and new hires according to federal/state regulation and company procedures

    • Calculates and processes special payments (i.e., retro, bonuses, commissions, fringe benefits, qualified/non-qualified moving expenses and supplemental pay)

    • Responsible for the manual transmission of bank files to banking institutions and validation of accurate and timely receipt

    • Experience with W2 reconciliations



  • Audits:

    • Participates in internal and external payroll audits

    • Prepares and reviews post payroll reports and distributes to finance divisions

    • Through quality assurance, identifies and correct out of balance conditions

    • Prepares periodic companywide payroll reconciliations

    • Validates the accuracy of garnishment withholdings



  • Customer Service:

    • Responds to questions from employees, management, and regulatory agencies. Maintains applicable compliance knowledge by reviewing and studying professional publications.

    • Develops and maintains close relationships and great communication with human resource representatives.



  • Other Tasks:

    • Collaborates in team environment to meet all departmental goals and deadlines

    • Responsible for completing quarter-end and year-end payroll processes and tasks

    • Responsible for creating accurate and timely funding communications sent to various finance groups.

    • Involved in the review and communication with other departments during audits/inquiries

    • Review and/or quality check function for other team member prepared work

    • General knowledge of employee benefits and impact to employee paychecks

    • Other duties as assigned.









Minimum Qualifications




  • Associate Degree with 5+ years of relevant experience

  • Payroll experience in a large and highly matrixed organization is preferred.

  • Comprehensive knowledge of Human Resources and Payroll practices and procedures

  • Familiarity with general accounting principles and business processes.

  • Computer literacy and familiarity with various computer programs such as MS Office. Familiarity with Deltek Vision or Vantagepoint is a plus.

  • Attention to detail

  • Ability to effectively communicate with technical and non-technical users

  • Ability to work to time constraints while prioritizing tasks

  • Ability to function in a fast-paced environment and adapt to new technologies or processes quickly

  • Must function well in a team environment as well as working independently
