The assistant director, rice alumni board serves as the key liaison to the Association of Rice Alumni (ARA) Board and manages all board-related programs, meetings, committees, and projects as well as the board's budget. The assistant director works very closely with the executive director of the ARA Board (i.e., the assistant vice president of alumni relations) and collaborates with the Alumni Networks and Alumni Programs teams to share board-related activities and updates, while also helping to manage daily office operations and staff events. This position also works closely with the Communications and Events teams to ensure that board communications are consistently updated and to coordinate various board-related events.
The ideal candidate is a self-starter, displays a positive attitude and professional demeanor, and is able to cultivate meaningful relationships while simultaneously coordinating multiple projects. The candidate must have a rigorous attention to detail.
Essential Functions
Develops, contacts, and maintains relationships with alumni, faculty, students, staff, and vendors
Recruits faculty and volunteers to facilitate their participation in alumni programs and events
Develops and implements a range of alumni events, programs, and services
Coordinates operational and logistical planning of alumni events, activities, outreach efforts, and event registration
Maintains calendars on events including arranging meetings, travel, and document preparation
Produces reports and analyzes the performance of alumni programs and services
Recruits and oversees student workers and temporary/casual workers
Performs all other duties as assigned
Additional Functions/Information
Acts as primary liaison between the ARA Board members and the Alumni Relations Office
Manages the organization and work of the ARA Board subcommittees and related events
Guides the assignment/selection of board members to other ARA Board subcommittees
Communicates the activities of the board and subcommittees to the board members, alumni relations staff, and the general alumni base
Manages the budget associated with the ARA Board expenses and facilitates reimbursement process to board members for appropriate expenses
Coordinates operational and logistical planning of ARA Board events (including but not limited to the board meetings, Laureates Awards Celebration, current/former board receptions, etc.), activities, outreach efforts and event registration
Manages the application and nomination processes for alumni awards, board and committee membership
Maintains and updates board membership, roles, events and attendance within Owl Connect (CRM)
May supervise student assistants on assigned projects
Assists with special projects as needed, including review and preparation of content for external communications to alumni (newsletter, website, etc.), and delegates duties to staff as needed
This position may require travel and the ability to work nights and weekends as needed
Required Qualifications
Bachelor's Degree
One year of related professional experience in an administrative, customer service or project management position providing support to multiple senior level professionals

License/Certification Requirements
Must possess (or have the ability to obtain one within 30 days of hire) and maintain a valid Texas driver's license with no more than three moving violations and/or at fault accidents within the past 36 month, and no convictions or deferred dispositions for Driving While Intoxicated (DWI) or Driving Under the Influence (DUI) within the past five years.
Preferred Qualifications
Education and Experience
Rice degree
Three or more years of professional experience in one or more of the following:
Working in a nonprofit or higher education environment
Working with volunteers
Oversight/management of a board or committee
Working in Alumni Relations or in a customer service setting
Online accounting and transaction vouchering
Using Blackbaud CRM or similar alumni/donor database system
Skills
Strong working knowledge of personal computers in a Windows/PC environment
Strong communication skills with ability to handle sensitive and confidential information appropriately and tactfully
Detail oriented with a strong focus on accuracy
High level of maturity and emotional intelligence with capability of exercising good judgement
