The primary functions of the Lead Administrative Specialist providing high-level administrative support to Senior Executive team within the University. Under direction of Assistant Vice Provost of Operations, performs a variety of complex administrative functions, which are of a sensitive and confidential nature. exercise considerable tact and integrity in handling matters delegated by the Senior Administrator. Regularly works with a wide array of university-wide constituents.

Independently completes administrative tasks, such as: intake/reception; managing multiple calendars; managing electronic files and records; screening incoming calls, correspondence, and visitors; and responding or making referrals as appropriate. Prepares documents such as agendas, notices, and minutes; maintains confidential documents and reports; coordinates and arranges meetings; composes and prepares correspondence and materials in support of various executive meetings. Arranges complex and detailed travel plans and itineraries; reserves and prepares facilities; order and maintain supplies and arranges for equipment maintance. Able to work independently on projects, including setting guidelines and timetables for completion. Position requires strong organizational and computer skills, initiative, judgement and understanding of the policies and procedures of the University.

Performs duties of a responsible nature requiring initiative and discretion, knowledge of assigned subject area and institutional understanding, proficiency in oversight of major aspects of assigned projects, coordination of activities with an emphasis on timely and effective delivery of project work products professionally and independently and is prepared to properly represent the senior executive team of University Chancellor and Senior Advisors when appropriate and necessary. Performs other duties as assigned.

Required Education & Experience:

At least 3 years of administrative experience. including scheduling and travel expense reporting. Experience supporting high level Administrators. Demonstrated experience handling meeting planning and multiple calendars. Outstanding customer service experience. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:

* Ability to assist in arranging internal and external meetings, including reservation of space, catering and/or travel arrangements, for members of the Office of the Provost.

* Demonstrated verbal, written and analytical skills, and attention to detail, including proofreading.

* Excellent interpersonal, organizational and communication skills, along with the ability to effectively interact with a diverse group of managers, staff, faculty, students, and parents.

* Demonstrated ability to manage multiple projects.

* Knowledge of applicable professional management, administrative and financial principals, and techniques.

* Demonstrated knowledge of all applicable computer software including: Zoom, Google Drive, Microsoft Office, outlook, word processing, spreadsheets, teams, and databases and the ability to update websites.

* Ability to work nights and/or weekends, if necessary.

Preferred:

* Bachelor's degree

* Knowledge of Banner or similar ERP system, COGNOS, KRONOS and CONCUR.
