Job Description:


Summary 
Epiq is a global third-party administrator of legal services. Design Operations is a highly technical cross-functional department involved with the print and mail division. We handle large volumes of data and mailings for thousands of recipients. Our work is deadline driven and often court ordered, requiring our team to constantly move from one task to another. There are three divisions within our department: Technical QA, Design Development, and the Project Team. The Project Specialist is a member of the Project Team in Design Operations. They play a vital role with their peers, Design Developers and Technical Editors.  



Project Specialists are responsible for assigning work to our cross-functional team. They are expected to report on the daily status of task assigned and make recommendations to meet project deadlines. It is vital to manage multiple projects simultaneously and to speak to their timelines and resource management to be successful in this role. Additionally, will be expected to keep establish and maintain inter and intra-departmental relationships in a remote environment. 



 




Job Responsibilities  





  • Assign work that comes into the Design Operations department to its cross-functional team. 




  • Report daily status and make recommendations on the tasks assigned.  




  • Participate in interdepartmental daily huddles and stand-ups. 




  • Speak to downstream and upstream impacts of decisions. 








  • Identify bottlenecks in work queues and reassign tasks as necessary. 




  • Speak to the timeline of all projects currently within the department.  




  • Monitor and manage multiple project timelines simultaneously. 




  • Motivate team members and foster team/individual engagement. 




  • Act as liaison, problem solver, and facilitator.   








  • Identify scope creep and escalate to appropriate level of management with recommendations. 




  • Keep stakeholders up to date on project status and potential issues. 




  • Present recommendations for deadlines, resource allocation, and staffing targets. 




  • Support the implementation of project management software. 




  • Develop detailed project plans to track progress and change-request documentation.   








  • Negotiate time commitments and resource allocation.     




Required Qualifications  





  • High level of comfort on the Windows platform and Microsoft Office. 




  • General working knowledge of Excel. 




  • General working knowledge of development methodology and lifecycle. 








  • Strong verbal and written communication skills. 




  • Experience building relationships in a remote environment. 




  • Experience working independently and acting as a department decision-maker in uncertain and ambiguous situations.  




  • Experience investigating scope creep to uncover root cause.  




  • Experience tracking complex details to meet simultaneous project deadlines. 








  • Experience interacting with key stakeholders, including high-level management.  




  • Experience changing planned direction and recalculating deliverable schedules and resources. 




  • Experience speaking to process and procedures for case management.  




  • Experience illustrating complex ideas to audiences with varying levels of technical aptitude. 




 





Desired Qualifications 





  • Experience in creating project plans, timelines, and change-request documentation. 




  • Experience identifying trending areas of opportunity in process, training gaps, and compliance issues. 




  • Familiarity with agile and waterfall environments. 




  • Any technical or development-related experience. This can include: 








  • SQL 




  • Python 




  • JavaScript
