Front Desk Administrator / HR Assistant

This position reports daily to our office and cannot work remotely. Our office adheres to all COVID safety precautions.

Must be bi-lingual in Spanish

This multi-function administrative position plays an instrumental role in the running of our office and will perform daily tasks and duties associated with Human Resources, Office Management, Reception, and the Uniform & Safety program. He/she will assist other employees throughout the company as needed. This position is highly visible, multi-faceted, and will impact a large cross-section of the company.

Principal Functions/Tasks Associated
Human Resources - Assist HR Director with the following:

Interface with our Hispanic workforce, interpret and translate when needed
Set up interviews
Handle Pre-employment and Orientation process
Assist in coordinating Job Fairs/Career Days
Assist with all Company Events

Office Management

Answer phones - "first line of defense" in picking up the phone
Answer front door
Shipping and Receiving
Kitchen area - keep clean and stocked
Office supplies - order, distribute, and process invoices from the vendor for payment
Offices monitor - (light bulbs, general tidiness, rugs, storage areas, Conference Room, etc.)
Liaison with Cleaning Company, Landlord, Shredit, Waste Management, etc.
Coordinate repairs on office printers/copiers/postage machine
Message Center - keep clean and organized/stock supplies and forms

Uniform Program Manager

Order uniforms/ distribute uniforms
Keep stock organized - Perform inventory once a month
Process invoices from uniform vendors and submits to accounting
Keep track of employee orders and replacements
Assist if needed - order and keep adequate stock of all safety gear
Assist with preparation of new safety bags or replace items for employees as needed

Other Duties

Assist where needed throughout the office: data entry, filing/scanning, client phone calls, errands, etc.
Order and pick up lunches/set up refreshments for special meetings
Ad hoc assistance to the CEO - Reservations, Travel, Meetings
Sort and distribute mail
Saturday rotation (Answer Phones in Office) from May - October (8:00 - 2:00 pm) 5-6 occurrences - approx. once a month

Job Requirements
The following attitudes, behaviors, and skills are critical to the success of the Front Desk Administrator/HR Assistant:

Bi-Lingual English/Spanish
Human Resource Experience is a PLUS
Able to manage companywide programs
Positive/helpful attitude "no job too big or small" able to happily assist staff on all levels
Exceptional and professional phone, verbal and written communication skills
Expertise in dealing effectively with high-end clientele
Strong focus and attention to detail
Ability to wear many hats
A temperament that will thrive in a Team environment where working closely and in cooperation with others is essential
Experienced in Microsoft Windows & Office and solid computer skills


Job Type: Full-time
Pay: $20.00 - $24.00 per hour
Pay may depend on skills and/or qualifications
