Job Description



  • Develop intra-office communication protocols

  • Streamline administrative procedures

  • Manage/track vehicle logs and maintenance for company owned vehicles assigned to NE Region

  • Maintain proper insurance/registration documentation for corporate vehicles

  • Inventory control - order office supplies

  • Office administrative staff supervision and task delegation

  • Perform front desk receptionist duties as needed

  • Provide administrative support to Morgantown office leadership team

  • Manage internal visitors (turnaround office space, hotel information, etc.)

  • Assist in a support capacity by following up on work in-progress, issues, inquiries, requests or complaints

  • Compose and type routine correspondence

  • Read and route incoming and outgoing mail

  • Organize and maintain file system, and file correspondence and other records

  • Process account transactions, where applicable

  • Perform assignments with established directives involving knowledge and application of policies and procedures

  • Arrange conference calls of various types as requested

  • Coordinate various managers' schedules and make appointments when requested

  • Compile, store, and retrieve data for the preparation of reports and may type various types of reports.

  • Coordinate and arrange meetings, prepare agendas, reserve and prepare meeting facilities, and records and transcribe minutes of meetings both on and offsite

  • Arrange and coordinate travel plans and itineraries when requested

  • Provide administrative accounting support for the office leadership including submitting travel authorizations, expense reimbursements and credit card logs.



    Education


    • High School Diploma or Equivalent

    • Minimum knowledge required to perform adequately in this position will require knowledge of specialized rules, procedures, practices, or operations acquired through substantial training or experience.

    • Requires moderate interpersonal and communication skills in dealing with others to ensure that customer requests or needs are met.

    • Performs duties within scope of general policies, procedures and objectives.

    • Analyzes problems and performs needs assessments.

    • Uses judgment in adapting broad guidelines to achieve desired result.

    • Regular exercise of independent judgment within accepted practices.

    • Strong organizational and data management skills.

    • Must exhibit qualities of leadership, self-confidence, motivation, decisiveness, flexibility, sound judgment and determination.

    • Must be able to utilize multiple word-processing and database applications including Microsoft Office applications (Word, Excel, Access), as well as Adobe Acrobat.

    • Current, valid driver's license.

    • Strong communication, prioritization and organizational skills.

    • Excellent written and verbal communications skills.
