Job Title: -- Administrative Assistant


Job Summary: -- This position supports the Administrative Services Department and performs a variety of secretarial and clerical tasks in support of office activities which include, but are not limited to: drafting correspondence and memos, scheduling appointments, making travel arrangements, and conducting department-related research. Updates appointment calendars for conference rooms. This position works under moderate supervision in performing a variety of tasks that require a degree of independent judgment and discretion.


Essential Duties and Responsibilities: --



  • General administrative duties, such as typing correspondence, proofread reports and correspondence, faxing, copying, filing, ordering of supplies

  • Copier maintenance - resolve issues or put in service call if needed

  • Prepare daily UPS report

  • Prepare and process purchase/work order requests and expense reports

  • Purchase Card reconciliation: attach backup and submit to Director, Administrative Services

  • Meeting scheduling (on site and remote), preparation of meeting materials, and agenda preparation

  • Warehouse archiving and keep record list updated; retrieving, termination of boxes

  • Special projects assistance, including PowerPoint presentations

  • Assist the corporate office with general overflow of day-to-day tasks, when appropriate

  • Back up Facilities Coordinator as needed

  • Assist with logging of packages using Send Suite software application

  • Interact with building management staff as required

  • Assist with building maintenance issues and general office/equipment issues


Qualifications: --



  • Minimum of 5 years experience

  • High School Diploma required, B.S./B.A. preferred

  • Strong organizational, oral and written communication skills

  • Self-motivated and detail oriented

  • Ability to prioritize workflow and perform as a team player

  • Ability to manage multiple tasks and meet deadlines on a daily basis

  • Strong analytic skills

  • Excellent PC skills (Word, Excel, PowerPoint, Lotus Notes)

  • Ability to type 65+ wpm
