The Leave of Absence (LOA) Coordinator will be part of the Human Resources Department and manages the end-to-end process of all leave of absence programs ensuring a positive employee experience and maintains compliance with leave of absence and employment laws including administration of all State and Federal Leaves of Absences (including but not limited to PDL FMLA CFRA ADA) within the organization. This includes compliance communication and working with the employee and their manager through the interactive process.


WHAT DOES THIS ROLE INVOLVE?



  • Acts as the first point of contact for incoming leave of absence inquiries conduct intake and assesses the needs of the caller; understanding explicit and implied needs as well as responding to emergency situations.

  • Demonstrate listening skills and empathy with each unique situation and provides a high level of service while balancing the need for efficiency and urgency.

  • Document all calls conversations accurately and with meaningful data for tracking and reporting purposes.

  • Analyzes LOA case information to determine eligibility asks targeted questions to gather relevant information in alignment with local state and federal regulations identifies appropriate leave type for the situation and opens new cases.

  • Act as a Subject Matter Expert (SME) to consult on leave inquiries reviews paperwork and educates the employees on what is needed to support their leave of absence. Educates the employee/customer on employee and employer responsibilities respectively.

  • Effectively explains accommodation policies and procedures and inform employees of any impacts to pay and/or benefits their leave options and refers employees to the appropriate resources/self-service tools to answer their questions or resolve issues (i.e. HCM ESS Benefits Portal Fidelity etc.).

  • Utilizes both internal and external resources to find answers and provide accurate up-to-date information to employees on a timely basis.

  • Accurately drafts LOA correspondence for all employee LOA notifications approvals and requests for medical certifications.

  • Communicates decisions and on-going expectations with claimants and clients partners with Benefits team and regional HR Managers to make timely case decisions based on service expectations as established by the client as needed.

  • Partners with the Managers and HR Business Partners to discuss and determine next steps on leaves that have exhausted state and federal entitlements; recognizes when there is a need to escalate to upper management and/or legal.

  • Track leave of absence process for all ACCO employees (signatory and non-signatory).

    • Manages all administrative aspects of leaves to include tracking hours used/taken and working closely with Payroll to ensure that pay is accurate and correct

    • Organizes files and tracks all Leave of Absence (LOA) documentation separate from other personnel records.

    • Accurately enters all LOA information into the related database and Human Capital Management system for timely payroll notification processing and tracking of leaves (start and end of leaves)

    • Partners with Benefits Manager HR Manager and Payroll to accurately report information of EDD Claims

    • Updates report on LOA database and pull reports as requested which may be required for tracking medical insurance payments etc. reconcile insurance payments as needed

    • Tracks baby births for the purposes of ordering baby blankets ACCOlades and announcements.

    • Ensures employee returns to work partners with the manager to engage in the interactive process


  • Run basic reports to identify upcoming leaves and returns to work as well as Ad-hoc reports when needed

  • General administrative duties such as typing and photocopying general correspondence including letters creating LOA presentations reports takes transcribes shares and files all related meeting notes and maintains accurate filing system and project document control. Sends various correspondence via U.S. mail certified mailings fax messenger U.P.S. Federal Express etc.

  • Assumes other duties or responsibilities as assigned by HR Manager & HR Leadership team.


WHAT ARE WE LOOKING FOR IN A CANDIDATE?



  • Bachelor's degree in human resources management business administration health education or a related degree field (e.g. community health health and human services.) or equivalent experience

  • HR Certifications (PHR SPHR SHRM-CP or SHRM- SCP) preferred

  • A minimum of 2 years of experience in Human Resources function and with Leave of Absence Administration.

  • Excellent verbal and written communication skills and ability to effectively explain complicated topics to all levels of employees

  • Excellent customer service skills with a demonstrated ability to show compassion for employee situations yet still maintain policy and practice standards of excellence

  • Strong analytic skills in order to create and maintain metrics reports and planning schedules

  • Solid knowledge of the DOL Federal and State employment laws FMLA CFRA PFL ACA required

  • Demonstrated understanding of laws and regulations including IRS COBRA FMLA ERISA and HIPAA

  • Strong interpersonal skills and the ability to interact at all levels of the organization with diplomacy and professionalism



  • Ability to work independently with minimal direction

  • Must be able to prioritize and plan work activities to use time efficiently

Hours: 8 am to 5 pm Monday through Friday 8 hours per day with one hour for lunch in order to do the job effectively.
