Under the direction of the Purchasing Manager this position is responsible for providing a turnkey procurement solution to the Project Manager (PM) for all Procurement related activities maintaining strong internal and external relationships following all internal and external requirements and procedures and representing the company in a positive manner at all times.


WHAT DOES THIS ROLE INVOLVE?



  • Responsible for full-cycle procurement processes from bid through warranty to ensure all projects have the materials needed and the company is protected by complying with all required internal and external regulations and procedures

  • Acquire bids from multiple vendors to evaluate which is most suitable for project needs

  • Work closely with Project Managers to negotiate to price and procure equipment goods and services in support of projects

  • Accurately create and execute subcontract agreements (in collaboration with Subcontract Administrators) and PSA (Professional Service Agreements) agreements in a timely manner ensuring that agreements are in place prior to work beginning on the project site

  • Assist the Sub Insurance Administrator in tracking down the certificate of insurance as needed

  • Request and compile equipment and subcontract submittals to ensure compliance

  • Work with Project Managers and Suppliers to maintain an "expediting log" and to track equipment lead-times ensuring the timely release of equipment in order to meet project requirements

  • Follow up throughout equipment production to ensure that equipment is delivered as promised by the Supplier

  • Work with the Project Manager to negotiate and settle back charges as applicable to ensure fair charges to the supplier as well as proper reimbursement to ACCO

  • Maintain and share knowledge of market conditions as they pertain to pricing service and known product issues

  • Work with the Purchasing team to update and maintain unit cost pricing database



  • Identify areas of potential cost reduction and analyze the impact of pricing changes for goods and services

  • Evaluate market trends through commodity pricing

  • Create and foster strong relationships with internal customers and suppliers to ensure that ACCO is well represented in the supplier marketplace both by being able to represent a comprehensive picture of ACCOs requirements to the suppliers as well as being able to communicate suppliers capabilities and needs back into ACCO

  • Other duties and responsibilities as assigned by the supervisor


While the Buyer will receive the majority of their daily working directions from their respective Project Manager groups; the Purchasing Managers are responsible for ensuring that the Purchasing Department's actions remain consistent with corporate policies and procedures. The following items need support and direction from the Purchasing Manager superseding any direction from the Project Manager:



  • Ethics - ACCO operates in a fair and honest manner with all Suppliers. The Buyer is responsible to ensure that our treatment of suppliers is fair and honest. Any questions related to this should be directed to the Purchasing Manager.

  • Use of Non-union labor including hiring a non-union subcontractor

  • Any modifications to Terms and Conditions supplier Insurance Requirements subcontractor Bonding Requirements subcontractor Exhibit and Public Works issues

  • Documentation that requires a signature (including but not limited to: subcontracts PSAs purchase orders credit apps work order documents supplier proposals etc.)


WHAT ARE WE LOOKING FOR IN A CANDIDATE?



  • 2-5 years of industry and/or purchasing experience preferred

  • Strong MS Excel and MS Word skills

  • Excellent and effective written and verbal communication and listening skills

  • Able to work effectively and professionally in a fast-paced team environment

  • Strong customer service skills

  • Able to organize large amounts of information

  • Must be goal-oriented and meet deadlines

Attendance Requirements:



  • Regular and routine attendance is necessary for the role.

  • Hours are Monday to Thursday 8:00 am - 5:00 pm Friday 7:00 am - 3:30 pm.
