Assists department heads in drafting and reviewing legal documents, such as employee contracts, shareholder agreements, affidavits and subpoenas; transactional documents, such as contracts and real estate leases
Monitors government regulations to ensure that the corporation is aware of new legal requirements
Conducts routine discovery
Obtains due diligence materials, such as corporate certificates of good standing, real estate and title information, and securities filings
Organizes and tracks files for important transactions or case documents, including pleadings and voluminous discovery documents; creating and maintaining a case-management database
Prepares documents, mail packages, file requests, and correspondence, as directed
Maintains company organization charts
Assists with upkeep of company programs including Ruth’s fund
Uploads, files, and distributes various documents for recordkeeping purposes and notifies applicable vendor or personnel
Administers and audits company’s learning management system, ensures required trainings are completed in a timely manner
Performs data entry and submits payment information for company’s referral bonus and sign on bonus programs to payroll
Monitors unemployment portal and responds timely to requests for documentation, coordinates hearings internally
Serves as back-up support to other departmental positions including the Receptionist and Licensing Coordinator
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Must be able to read, write, and demonstrate excellent verbal and written communication skills
Intermediate computer skills, particularly with Microsoft Office tools (Excel, PowerPoint, Word) and e-mail (Outlook)
Ability to think well on his/her feet and to solve problems with ease and enjoyment
Ability to manage multiple tasks/assignments simultaneously
Ability to proactively assess the needs of others
Ability to deal with difficult clients or customers in person and over the telephone
Must exercise accuracy, discretion, good judgment, attention to detail, courtesy, tact and patience
Strong interpersonal skills; establishes and maintains good working relationships, friendly and polite demeanour
Strong planning, attention to detail, and organizational skills
Must be able to work independently with minimal direction and supervision
Strong keyboarding and data entry skills, alpha and numeric
Must be able to properly handle sensitive or confidential company information
EDUCATION AND WORK EXPERIENCE:
High School Diploma or GED required
Two years of related experience and/or training; or equivalent combination of education and experience
PHYSICAL DEMANDS:
While performing the duties of this job, the team member course of daily activities. The team member frequently is required to use hands to finger, handle, or feel objects, or telephone. The team member is occasionally required to climb, lift, balance, stoop, kneel, or crouch. The team member must regularly lift and move up to 25 pounds. The team member is required to work on a computer, in addition to doing paperwork.
WORK ENVIRONMENT:
Work is performed in an office environment
Position involves encounters with members at every level of the organization, vendors, and members of the public, and requires a sense of responsibility to provide a high level of customer service and accurate information
Work involves stress associated with responding to/solving problems
Normal working hours for this position will be Monday through Friday from 8:30am-5:00pm. Ability to work overtime as directed is required.
